THE OPPORTUNITY
The Senior Advisor to the Chief Development Officer (CDO) provides dedicated support to the CDO to ensure the smooth execution of strategic initiatives, projects, and operational priorities. This role is hands-on, focused on tracking deliverables, coordinating information, preparing materials, and ensuring follow-up so that the CDO can focus on decision-making and leadership.
Working closely with the Development team, City staff, other agencies and other internal/external stakeholders, the Senior Advisor, CDO ensures that projects stay on track, deadlines are met, and communications are clear and timely. The position is detail-oriented, organized, and proactive – helping the CDO anticipate needs, manage priorities, and ensure nothing is overlooked.
PRINCIPAL FUNCTIONAL RESPONSIBILITIES
Executive & Project Support
Maintain and update tracking systems for all CDO priorities, projects, and follow-up actions.
Monitor deadlines, deliverables, and next steps, escalating risks of delay early.
Draft, edit, and prepare correspondence, briefing notes, meeting agendas, and presentations for the CDO.
Ensure meeting materials are accurate, clear, and ready in advance.
Coordination & Information Flow
Act as the first point of contact for internal requests to the CDO’s office, triaging and routing items appropriately.
Consolidate updates from across the Development team and other departments into clear status reports.
Ensure timely and accurate information flows into and out of the CDO’s office.
Coordinate information requests and responses between CDO’s office and City staff, agencies and external partners.
Operational Priorities & Issue Tracking
Keep an organized record of open items, ensuring that tasks and commitments are followed through in a timely and professional fashion.
Support the preparation of materials for internal committees, Board updates, and project reviews.
Identify and flag emerging issues that require the CDO’s attention.
Track follow-up items from meetings with City staff, agencies, and consultants, ensuring next steps are completed.
Communications & Relationships
Prepare high-quality written materials including internal notes, reports, presentations, and meeting summaries.
Build cooperative working relationships across the Development team and other internal groups at the city.
Ensure requests to the CDO are handled with professionalism, discretion, and attention to detail.
Support the drafting and coordination of correspondence with City divisions, agencies, and external stakeholders.
CANDIDATE ATTRIBUTES
Post-secondary education in business administration, planning, communications, development or related field.
4 - 6 years of progressive experience in coordination, executive support, project administration, or a related role - ideally in a municipal, public sector, or real estate/development context.
Experience supporting or working with municipal government, City staff, public agencies, or development-related organizations is strongly preferred.
Exceptional organizational and time-management skills with proven ability to track and drive multiple priorities simultaneously.
Demonstrated ability to manage competing deadlines and maintain accuracy under pressure.
Strong -follow through skills - ensure commitments are monitored, actioned, and closed without reminders.
Superior written communication skills, with the ability to draft clear, concise, and professional correspondence, reports, and briefing materials.
Confident verbal communication and interpersonal skills, able to represent the CDO’s office with professionalism.
Ability to adapt communications for a range of audiences, including City officials, external agencies, consultants, and community stakeholders.
Proactive in identifying potential risks, gaps, or delays and recommending solutions
High degree of discretion, political acuity, and sound judgment in handling confidential or sensitive matters.
RELATIONSHIP RESPONSIBILITIES
Works directly with the CDO to ensure timely execution of priorities.
Coordinates with Development team members and other internal departments to ensure alignment on deliverables.
Maintains collaborative working relationships with administrative staff across the organization to facilitate smooth operations.
Serves as a coordination point for City staff, other public agencies, and partner organizations engaging in the CDO’s office.
Manages the intake, tracking, and follow-up of external correspondence and requests from City divisions, agencies, consultants, and community stakeholders to ensure timely responses and resolutions.
Supports preparation of materials for external meetings, ensuring accuracy, clarity, and alignment with the CDO’s direction.
