Our Canadian operation, Canaccord Genuity Corp., is currently looking for an Office Services Administrator who will be a central point of contact regarding day-to-day operations in support of the business. Department hours are 6:30am – 3:30 pm from Monday to Friday in Vancouver. The successful incumbent must be willing and able to work 40 hours per week with overtime as needed. Responsibilities: Collect and distribute mail and packages over 5 floors. Pick-up and process incoming and outgoing mail. Coordinate outgoing courier requests for local, national, and international deliveries, including inter office; and receive, sign for, and track incoming couriers. Record incoming cheques and security certificates and hand deliver to the Treasury and Securities departments. Meet daily, weekly, and monthly Mailroom deadlines. Develop and maintain a prominent level of expertise and knowledge of the Mailroom functions. Respond effectively to department-related inquiries in a friendly and professional manner via telephone, e-mail, and in person. Provide support to the reception desk as required by answering phones, client inquiries and greeting clients in a polite and friendly manner. Maintain copy paper stock on floors. Maintain high standards for both indoor and outdoor office spaces by promptly addressing issues and ensuring a safe, functional environment. Oversee the upkeep of the outdoor patio area, including covering and uncovering furniture as needed, ensuring all items are clean, functional, and properly stored, and perform outdoor tasks in varying weather conditions when required. Provide support for facilities-related tasks such as programming access cards, assisting with client parking, and handling occasional operational needs. Assist other members of the Office Services or Facilities teams as required. Assist with and provide input to special projects as identified by the team and Manager. Identify, initiate, and participate in process reviews and continuous improvement initiatives. Maintain the cleanliness and stock of 12 kitchens throughout each day to a high standard. Organize, order, and track kitchen and hospitality supplies. Prepare boardrooms for meetings and events, including setup and coordination. Support with Barista coverage as required. Skills & Qualifications: Similar experience in a professional office environment, ideally in a customer service role. Previous experience in hospitality is considered an asset. Strong and effective communication skills. Strong ability to problem-solve and take initiative. Ability to demonstrate a collaborative and forward-thinking approach to process and role development and improvement. Strong organization and prioritization skills with the aptitude for tracking and efficiently completing multiple tasks with extreme accuracy.
