ATCO Structures is seeking an Operations Coordinator to join our team on a full-time permanent basis as part of our Sudbury, Ontario branch. Reporting to the Regional Manager, Northern Ontario, the Operations Coordinator is responsible for the effective execution of all transportation, logistics, and service work, including managing all third-party relationships. The successful candidate will be integral to executing ATCO’s proven processes, maintaining safe working conditions, and ensuring quality standards are improved every day.
Job Responsibilities:
Coordinate transportation with carriers on all incoming and outgoing movements, and coordinate with clients on delivery and pickup timelines
Administer Bill of Lading to vendors and prepare yard count and fleet utilization reports regularly
Maintain ongoing administrative and client communication, advising stakeholders and clients on project progress, addressing issues and deficiencies as required
Maintain accurate service work order documentation, with photos and inspection reports to facilitate timely communication of chargebacks to customers
Perform and dispatch service calls; triage appropriately and manage associated costs
Coordinate service work on trailers and modular buildings within our rental fleet
Manage Purchase Order lifecycle for relevant tasks – from issuance to reconciliation
Manage vendor compliance from a safety and quality perspective internally
Perform inbound and outbound unit inspections
Ensure service work is recorded in Starfleet for accurate tracking of commitments and spending
Determine shop schedule for best optimization and create appropriate work orders for the service crew
Accountable for ensuring equipment is maintained, conducting inspections, and facilitating repairs regularly as needed
Respond to routine requests from sales teams regarding equipment availability and pending rentals, transportation schedule
Contribute to continuous improvement initiatives to optimize existing processes
Ensures that branch operations run smoothly and that safety standards are consistently upheld to maintain a safe and compliant work environment
Other duties as assigned
Job Qualifications:
2+ years of experience in a similar role in equipment rentals, logistics, operations, construction, etc.
Proven ability to work in an autonomous, high-volume volume and fast-paced environment
Proficiency in completing entries in Microsoft Excel, and executing basic tasks like photo uploads, scanning, and organizing inspection sheets, purchase order requisitions, and schedules
Ability to read and interpret blueprints
Capable of organizing a schedule and communicating with internal and external stakeholders
Excellent interpersonal skills, written and verbal communication
Demonstrated ability to analyze problems, create solutions, and work under pressure
Reliable, hardworking, strong work ethic, and an ability to work as part of a team
Strong working knowledge of the MS Office suite required
Valid Ontario driver’s license
