Office Manager Job Purpose: Under minimum guidance, the Office Manager will be responsible for general office management duties including shipping/ receiving, Dangerous Goods compliance, purchasing, providing exceptional customer service for all visitors and employees in person and over the phone, coding and filing of all Canada and International invoices and other administrative tasks as assigned. % of Time Primary Accountabilities 75% General Administration – Office Management, Reception Duties, Accounts Payable, Purchasing, E1 JDE admin work 20% Shipping/ Receiving and transportation logistics 5% Health and Safety compliance and First Aid Required Education & Experience: Diploma in Business Administration or related field or equivalent experience Minimum 5 years related work experience Required Knowledge, Skills, Abilities and Other Competencies: Strong communication skills, both written and verbal Ability to prioritize and multi-task Strong phone etiquette and skills Computer proficiency including Microsoft Office Suite (Excel, Word, Outlook and PowerPoint) Strong organizational skills including documentation These are considered assets: Previous experience in Administrative Work and Purchasing Previous experience in Transportation Logistics, Shipping / Receiving Health and Safety training and certifications Responsibilities: Manage facility issues including; vendor management with cleaning services, property landlord and fire extinguisher inspectors, and other building related vendors Management of Echologics Canada cell phone contracts and on-going cell phone related issues (to be transitioned to IT in 2018) Coding and filing of all Canadian and International invoices as well as contact for payment status of invoices Provide outstanding customer service to all visitors, clients and employees of Echologics including directing questions, assisting with printing, binding, filing or other requests Management of the front desk including inbound/ outbound calls and e-mail requests Create and manage visitor logs (through iPad) and delivery logs Sort and distribution of incoming and outgoing mail/ courier Ordering of office supplies including printer toners, light fixtures and other office supplies Ensure proper operation of company printers including: restocking paper trays, changing printer toner cartridge and arranging for service Management of office security system including adding new users, terminating users when necessary Shipping & Receiving Duties: Create & maintain a log for all outgoing shipments Select shipping vendor based on shipping requirements Prepare shipping documents and labels including any required forms or documents for customs, dangerous goods, etc… Liaise with custom brokers to coordinate shipments, deliveries and custom clearances Follow up with courier or customs when required Track and ensure release of all shipments from broker/ customs Ensure Dangerous Good compliance in accordance with relevant regulations Purchasing activities mainly related to “not-inventory” items Reconciliations of invoices, escalation / resolution of accounting related matters with Finance Administrative work within E1 JDE Procurement function Other duties as assigned Lominger Competencies: Interpersonal savvy Priority setting Adaptable Customer focus Patience Functional and technical skills Time management Organizing Working Conditions: Office Environment Physical Requirements: The employee will be required to perform the following actions (from time to time): Standing, Walking, Balancing, Stooping, Kneeling, Reaching, Talking, Seeing, Hearing, and Sitting.
