Reporting to the Payroll Manager, responsibilities for the position include the following:
The Payroll Specialist shares oversight of the day-to-day application of the payroll module in the integrated Human Resources Information System ensuring accurate and aligned pay practises are understood and executed. As an internal subject matter expert in Time and Attendance and Payroll, this role supports and educates internal stakeholders to proactively ensure accurate and timely pay, through usual and special scenarios. Supports other functions and provides hands on support to ensure that the functional integration impacting pay is aligned, including (but not limited to) new employee sign up, benefits eligibility, retained insurance, wage step adjustments, taxable benefits, etc. The position also supports payroll processing and reporting as needed, and manages the reconciliation of all payroll related general ledger accounts.
Supports Payroll Processing and Operations
Executes pre and post payroll integration reports
Submits bi-weekly time file integration
Processes off-cycle pay as needed
Processes special payments such as per diems, premiums
Completes wage loss forms
Reconciles CRA remittances with payroll deductions submitted
Handles T4 inquiries
Oversees payroll reconciliation to ensure variances are investigated, accounted for, and corrective actions are taken – for Payroll manager’s review and approval
Reconciles payroll accounts in a timely manner, following up on and resolving any outstanding issues
Facilitates Integrated Payroll Practices
Works with functional stakeholders to ensure integrated processes are appropriate to avoid negative impacts to pay outcomes
Reviews retained insurance and health spending deductions provided by HR to ensure accurate processing and reconciliations are conducted
Provide training and coaching to team leaders as needed (onboarding and in regular or special situations)
SME and Process Documentation
Acts as an internal subject matter expert on Time and Attendance (currently UKG) and Payroll processing and reporting (Oracle)
In collaboration with the Payroll Manager, reviews internal processes to align with People Forward and prepares documentation for reference and training purposes
Identifies opportunities to streamline processes, working with Payroll Manager and other stakeholders
Responds to payroll inquiries and provides payroll information and coaching on payroll related matters and processes to Team Leaders and HR Stakeholders
As assigned by the Payroll Manager, responds to external stakeholder inquiries such as FCL, Service Canada, etc.
Qualifications:
Payroll Compliance Professional (PCP) designation preferred; Post-Secondary Accounting classes considered an asset
Minimum of 3 years of payroll experience, including accounting knowledge and experience for payroll reporting, reconciliations and postings
Experience with time keeping and payroll systems an asset
Proficient in the Microsoft Suite of Products in particular, Microsoft Excel
