The Role (what you’ll own)
As a Project Coordinator with ClearCare, Clearspace's newly-formed service line, you will run small-scope projects end-to-end like a Project Manager - the difference is the scale, not the standard. Typical projects include tenant churn/adds/changes, suite refreshes (paint, flooring, lighting), door/hardware, minor MEP/sprinkler relocations, small millwork/signage, make-readies for new occupancies, and light base-building tweaks.
Job duties:
Scope & pricing: Lead site walks, draft scopes, assemble take-offs, and produce quick-turn ROMs and formal quotes; validate assumptions with trades/landlord ops.
Schedule & permits: Build short-interval schedules, sequence night/weekend work, coordinate access/shutdowns, and process permits where needed.
Subtrade buy-out & POs: Source three quotes when required, level bids, recommend award, issue POs, and lock in lead times.
Execution oversight: Run kickoff meetings, track daily progress, resolve site issues in real-time, manage changes, and uphold safety, quality, and cleanliness.
Financial control: Maintain project budgets, approve invoices against progress, manage CCOs, protect margin through scope clarity and timely COs.
Close-out: Punchlist to zero, collect O&M/as-builts, obtain sign-offs, and hand over cleanly to client/landlord ops.
Warranty & Service: Triage tickets, dispatch trades/handyman, verify fixes, and close documentation.
What success looks like (outcomes)
Cycle time: Quote-to-start and start-to-close-out met or beaten for small-works SLAs.
Budget adherence: Final cost within agreed variance; clean, timely change orders.
Quality & safety: Zero rework on handover; adherence to site rules and shutdown protocols.
Client satisfaction: Clear, proactive comms for landlords & tenants; repeat work/NPS.
About you (the profile we’re targeting)
3–6+ years in GC interiors/ICI with hands-on day-2/special-projects or service experience; comfortable owning multiple small jobs concurrently.
Confident with drawings/specs, take-offs, basic estimating, and short-interval scheduling.
Skilled at vendor/trade coordination, POs/invoices, submittals/RFIs, meeting minutes, and close-out packages.
Tools: MS Office; Procore (asset) or equivalent PM platform.
Strong communicator who keeps stakeholders aligned (tenant, landlord, property mgmt., trades).
Valid G-class license; comfortable traveling across the GTA.
