This permanent position is based in the Peter Guo-hua Fu School of Architecture. Position Summary: Provide efficient and effective administration to the Peter Guo-hua Fu School of Architecture, in support of teaching, research and administration, in accordance with the School's goals and objectives, while ensuring coherence with the University's mission and culture. Plan, develop and implement administrative processes and policies for a unit. Develop administrative standards, practices and systems. Provide a liaison function with other units and with external organizations. Support activities related to general administration including, but not limited to: finance, human resources, communications, student affairs, physical resources, archives, governance and legal affairs. Manage research administration, contracts, grants, philanthropic gifts or other formal relationships. Interpret and apply University regulations, policies and guidelines. Perform functions related to planning and institutional analysis Primary Responsibilities: Manage the day-to-day operations of the School of Architecture and support the implementation of its strategic plans, including operational changes Provide direct administrative support to the Director of the School. Revamp and streamline administrative processes. Support the reorganization of the School’s administrative structure Motivate and supervise support staff; oversee their work; manage career development; work with Faculty administration (most closely with HR and Finances team); display willingness to introduce and organize process changes Plan and administer School budget (operating budget, teaching and research lab budget, research grant budgets) with relevant Faculty resources Supervise financial matters, including purchases, reports, payroll, and collaborate with the Director for grant reporting Manage Faculty Search (for tenure track professors) and academic personnel Advise on HR/academic/student affairs matters and devise best practices for administrative processes Oversee HR operations, using Workday, such as job postings and offers, hiring, one-time payments, terminations, etc. in collaboration with the Faculty Oversee all School communications, including social media presence, promotional initiatives, and communications with internal and external stakeholders; conceiving of new promotional methods following guidance and in collaboration with the Faculty Communications Officer Assist in writing and editing high-level dossiers and proposals Assist with academic program changes Recommend physical needs (space, equipment, etc.) and devise a plan to achieve them in liaison with the Faculty Building Administrator and Facilities Management Support the administration of the accreditation process (preparation, documentation and visit) Assist in conceptualizing and implementing new initiatives in the school Plan and organize events The list of duties and responsibilities outlined above is representative and not a complete and detailed list of tasks which may be performed by an employee whose position has been matched to this generic job description. Proven experience in human resources, as well as experience in some of the following topics: academic affairs, research grant administration, budgeting, student affairs and advising, communications, and recruitment. Demonstrated ability to work in a computerized environment including knowledge of Microsoft Office and Workday. Experience in accounting, data analysis, budget forecasting, project management, event organization and social media preferred. Knowledge of French and English.
