PRIMARY FUNCTION: Reporting to the Chief Executive Officer (CEO), the Manager of Executive Operations works closely with the Executive Management Committee (EMC), the Board of Directors, justice sector partners and interested and impacted parties.
This position is responsible for managing the day-to-day operations of the CEO and Executive office, including oversight of the Executive Assistant team, strategic scheduling and coordination of the CEO’s activities, and the efficient management of Executive Office functions.
Acting as a strategic partner to the CEO and EMC, the role provides high-level operational and organizational support to ensure that strategic priorities and organizational goals are achieved. The incumbent is a key liaison between internal and external stakeholders, ensuring seamless communication, timely execution of initiatives, and alignment with the organization’s mission and values.

KEY ACCOUNTABILITES:
Leadership and Communication:
Works closely with the CEO and EMC to expand effectiveness and operational impact.
Ensures the timely delivery of annual and long-term CEO goals established in collaboration with the Board.
Manages the flow of information to and from the CEO, advising on issues requiring attention or action.
Acts as the liaison between CEO, executives and key project participants to ensure consistent communication, oversight and timely decision-making.
Collaborates with the EMC and department heads to support cross-functional initiatives.
Oversees the development and execution of strategic business initiatives from conception to completion.
Identifies and implements initiatives to improve workflow, teamwork, and resource management.
Proactively addresses urgent operational issues requiring immediate CEO attention.
Promotes a positive, values-based service culture that emphasizes teamwork, integrity, and client focus.
Executive Office Management
Designs and maintains systems and processes to streamline Executive Office operations.
Works with the Executive Assistant team to plan and coordinate the CEO’s schedule, meetings, and events, ensuring accuracy and attention to detail.
Strategically manages the CEO’s time to ensure balanced focus on internal operations, external relations, and innovation.
Handles highly confidential personnel, financial, and strategic information, including matters concerning confidential labour and stakeholder relations with discretion, integrity, and sound judgment.
Exercises tact, diplomacy, and professionalism when dealing with sensitive matters, ensuring trust and credibility at all levels of the organization.
Serves as a trusted advisor to the CEO, maintaining confidentiality while facilitating informed decision-making.
Manages logistics and support for CEO meetings, presentations, and engagements with interested and impacted parties.
Prioritizes and organizes critical information and issues for efficient CEO decision-making.
Tracks and ensures completion of action items and follow-ups from CEO meetings.
Oversees administrative, financial, and operational functions of the Executive Office, including budget management.
Policy, Procedure and Administration
Develops and refines systems for information and data management to enhance executive effectiveness.
Assists in preparing reports, presentations, and briefing materials for the CEO and Board.
Ensures deadlines and deliverables set by the CEO and Board are met.
Establishes operational policies and best practices that enhance efficiency and accountability.
Employee Relations and Team Leadership
Directly supervise and manage the team of Executive Assistants providing administrative support to the Executive Team.
Responsible for hiring, supervision, discipline and discharge of Executive Assistants.
Leads and mentors the Executive Assistant team to promote high performance, collaboration, and accountability
Builds strong relationships with colleagues and lawyer-contractors to enhance responsiveness and efficiency.
Continuously seek to improve processes and cross-department collaboration.

Required Education, Skills & Experience
Bachelor’s degree in business administration, finance or a related field, or equivalent experience with a focus on operations management. Master’s degree is an asset.
Minimum of five (5) years progressive experience in operations management, with a emphasis on executive-level advising and interdepartmental collaboration.
Demonstrated knowledge of the justice system and legal aid operations is highly desirable.
