Responsible for the day-to-day resolution of contract and/or lease obligations and service issues. Manages environmental, security and safety management strategies and initiatives. Manages preventive and corrective maintenance programs to ensure compliance with applicable regulations and maintain integrity of assets. Monitors and maintains capital and operational budgets requirements for retail/DRC locations and monitor and manage expenditures within budget constraints. Prepares cost estimates and project budgets. Responsible for providing facilities risk management direction. Approval of trade, supplier and contractor invoices in accordance with project specifications. Review and approve change orders. Establish and maintain positive and effective working relations with internal and external stakeholders. Weekly/Ongoing Analysis and understanding of all Property and Tenant leases in assigned region. Maintains organized reporting structure for renewal notices and expiration of leases. Review lease summaries and prepare lease renewals utilizing data, store reports, financial statements, demographics and market values. Maintains current knowledge of property strengths and challenges. Continually analyzes demographics and determines positioning of retail locations. Develops proposals for National Director of Property for new locations and/or relocations. Facilitate lease renewal negotiations. Manages all leasehold improvements and property acquisitions to ensure projects complete on time, within budget, and in accordance with established scope of work and in adherence to local, provincial and or federal codes and regulations. Develop project work plans and schedules. Communicates initiatives, programs and critical information to all stakeholders. Ensures compliance with occupational health and safety policies, regulations and legislation. Negotiates building service contracts. Monitors and coordinates maintenance contracts. Manage insurance claims for the retail, DRC and truck claims. Review all incident reports and ensure corrective follow up is initiated, where applicable. Report incidents to the National H&S Committee and Internal Audit and Insurance as required. Monthly/Annually Liaises with Retail District Managers to determine store needs for the purpose of establishing annual store budgets. Review and renew service contracts with all 3rd party contractors and vendors. Negotiate pricing ensuring competitive pricing and optimal service. Source contractors as required. Analyze annual CAM reconciliations and advise on discrepancies. Other Other duties as assigned Health and Safety Ensure prescribed equipment, materials and protective devices for repairs, renovations and maintenance are provided. Ensure Occupational Health and Safety legislation and company policy are adhered to during repairs, renovations and maintenance. Take all reasonable precautions to protect workers during repairs, renovations and maintenance. Ensure regular inspection of all retail/DRC locations. Ensure all contract personnel hold valid provincial insurance coverage and third party Liability insurance. Ensure all power equipment is serviced quarterly and any required annual inspections are completed. CRITICAL RELATIONSHIP MANAGEMENT Governance Boards and Councils: Internal: National Director of Property, NRO Leadership Team, NRO District Managers and DRC Managers, NRO Business Committee, NRO Real Estate Advisory Group, THQ Finance, THQ Accounting, THQ Internal Audit, THQ IT and other THQ Business Partners, National H&S Committee External: Landlords, Vendors, Guest, & Donors MANAGERIAL RESPONSIBILITY: Reports directly to: National Director of Property, NRO Direct reports: None FINANCIAL AND MATERIALS MANAGEMENT: Material: Maintain assets, properties and equipment to prolong life and value. Financial: Proactively identify opportunities to optimize resource use, reduce waste, and implement cost-saving measures across resources and departmental tools, including DRC and Retail equipment, technology, and supplies. Oversee proper allocation, maintenance, and compliance with applicable legislation, TSA policies and NRO protocols, in collaboration with and under the oversight of the National Director. Continuously evaluate departmental expenditures, spending patterns, and vendor arrangements to identify efficiencies, cost-saving opportunities, and value-added solutions that improve operational and accounting performance. Assist with and facilitate national yearly budget preparation, support national year-end processes, and maintain relationships with national vendors relevant to departmental operations, in collaboration with and under the oversight of the Director, ensuring compliance with TSA policies and NRO protocols WORKING CONDITIONS: This is a permanent full time position. This job will involve travel locally, regionally and nationally with the majority of the time spent in an office environment. Travel will expose individual to weather conditions and work in stores and DRC will require the wearing of steel toe safety shoes, safety vests and dust masks where` and as needed. Successful applicant will need to be prepared to respond after hours to emergencies. Education, Qualifications and Certifications: Bachelor’s degree in business or related area, and/or Certified Property Manager certificate. Alternatively, experience in the field of Property Management and equivalent combination of education in the field will be considered. Project Management certification is an asset. Construction background/experience an asset. Good working knowledge of Microsoft Office Suite, particularly Excel, Word and Outlook. Experience and Knowledge: Minimum 5 years demonstrated experience managing multiple commercial properties, in a multi-site or national environment. Proven ability to lead teams and coordinate operations to ensure proper maintenance and response to everyday and emergency situations. Demonstrated experience managing compliance, procedural oversight, and adherence to regulatory or organizational requirements Strong knowledge and practical understanding of insurance, property liability, and maintenance practices, including HVAC, Industrial equipment, commercial trucks and retail and warehouse environments. Compensation: The target hiring range for this position is $65,776.57 to $82,220.71 with a maximum of $98,664.86.
