Job Summary:
Reporting to the Manager, Enterprise Learning and Development, the Learning Coordinator will be a service-oriented individual responsible for supporting the development, delivery and evaluation of learning and development strategies, programs, initiatives and materials used in training WCB staff. The Learning Coordinator will work effectively with internal customers and external vendors to coordinate and provide administrative support for enterprise training programs, learning events and the learning management system.
Duties & Responsibilities:
Performs administrative duties in the learning management system (LMS) and acts as the LMS Subject Matter Expert to support the full utilization of the system, including adding new learning content, uploading courses, assigning learning to staff, creating reports, conducting quarterly release testing and creating and managing service tickets with the vendor.
Administers registration processes for ELD learning events and training programs, ensuring registration, attendance and course completion information is accurately maintained and recorded in the LMS.
Responds to requests for information and support regarding ELD department resources and services by monitoring the ELD department email inbox. Receives and files required documents, information and responses from the ELD department email inbox, digital drop box and digital survey tools.
Coordinates and maintains the intake process for all ELD department requests, including scheduling meetings, corresponding with clients and tracking progress.
Coordinates and manages all ELD training calendars and schedules.
Coordinates scheduling and arranges trainers/facilitators, venues, catering and AV or technical support as required for ELD department training programs and learning events. Confirms arrangements in advance of each event to ensure logistics run smoothly on site.
Provides onsite support where required for all ELD department learning events, including room set up and take down, equipment set up and maintenance and in virtual learning events, provides producer support to the facilitator.
Develops, administers and prepares reports on ELD department training registration and completion data, learning event evaluations, learning resource inventory and resource distribution. Collaborates in the development and implementation of improvements to the collection and reporting processes to ensure relevant and useable data is collected.
Maintains document storage and control processes related to learning resources and training material creation and updates. Collaborates in the development and implementation of improvements to the document control and storage processes.
Coordinates printing and assembly of all ELD training resources and provides manual material handling of all training resources, equipment and supplies. Maintains inventory control of training resources and equipment. Monitors inventory and times ordering or printing of materials to ensure adequate stock levels to support ELD department activities at all times. Develops projected materials and equipment requirements and costs for ELD department manager.
Creates and maintains a comprehensive catalogue of learning and development assets across the organization.
Manages and maintains all storage locations for learning and development materials and artifacts, including the ELD department SharePoint site and other applicable locations across the organization to ensure materials stored are secured, accessible to necessary staff, updated and archived appropriately.
Supports management to forecast expense budget related to implementation, maintenance and execution of existing vendor contracts, post-secondary sponsorships and training-related partnerships. Maintains an effective filing system for access to the contracts and supporting documentation.
Performs research into learning and development trends and leading practices to support the execution of learning and development initiatives.
Participates in the formulation and implementation of policies, guidelines and standards for learning and development across the enterprise.
Supports the development and revision of learning and development materials.
Supports and participates in a culture of continuous process improvement that allows for identification of problems and opportunities and generates ideas and improvements.
Qualifications:
Two (2) years completed post-secondary in Business Administration, Education, Social Sciences or other related program. A certificate in adult learning would be an asset.
Plus, two (2) years successful experience demonstrating competence in the following:
Coordination of activities including planning, coordination of logistics, and/or support of events.
Excellent interpersonal skills, with an ability to work and interact with a wide range of staff and strong communication skills with all levels of management including internal customers and external vendors.
Oral and written communication skills, including the ability to maintain clear and consistent communication and proactively provide accurate information as appropriate.
Gather and analyze data from various sources in order to support business needs (e.g., create summaries, propose options, generate reports, populate scorecards).
Accurately maintain records and reports, in various types of filing systems and in a variety of tools such as databases, spreadsheets, SharePoint, common drives, etc.
Coordination and management of schedules, calendars, email inboxes and communication channels.
Proficient computer skills in word processing, spreadsheets, PowerPoint, and/or virtual meeting platforms to support business needs.
Working knowledge of general business practices and procedures.
Ability to multi-task and prioritize tasks within established time frames.
Special Considerations: Travel may be required.
