Job Description:
The Local Delivery Group (LDG) is a collaborative network of hospitals and healthcare partners within a defined region, established to drive the implementation and optimization of digital health solutions that improve patient care, streamline workflows, and enhance system integration. LDG Digital refers to the suite of digital programs, platforms, and initiatives managed by the LDG, focusing on technologies such as eReferral and Central Intake to facilitate efficient, secure, and patient-centred access to health services across member organizations.
As the lead organization for the Central South LDG, Trillium Health Partners plays a pivotal role in coordinating regional digital efforts, setting strategic direction, and supporting the deployment and adoption of innovative digital health solutions. THP is responsible for championing best practices, ensuring alignment with provincial and regional priorities, and fostering collaboration among LDG members to advance digital transformation and improve health outcomes throughout the region.
This role will be a member of the Performance, Information and Digital Services division, and the Executive Coordinator will directly report to the EVP, Performance and Planning, and Chief Information and Analytics Officer (Digital LDG Lead). In addition, the Executive Coordinator will also support the work of the Digital Local Delivery Group (LDG), contributing to digital initiatives and ensuring seamless integration with regional priorities; working closely with the Project Director and Chief Health Information Officer (Clinical LDG Lead).
The Executive Coordinator will work alongside project leads, senior leaders, and cross-functional departments and the hospitals in the region to enable coordination, communication and facilitation required to ensure clear prioritization and advancement of the regional accountabilities and associated priorities for the Performance, Information & Digital Services Division.
Key Accountabilities
Strategic Information Coordinator & Decision Support
Oversee the flow of strategic information across the division and the Digital Local Delivery Group (LDG) to ensure timely, informed decision-making.
Align divisional and LDG digital priorities with broader organizational goals, escalating risks and issues as needed.
Liaise with internal teams, LDG members, and external partners on behalf of the EVP and CIAO to ensure consistent messaging, coordination, and integration of regional digital initiatives.
Provide direction and guidance to leaders on requests, communications, and follow-ups, ensuring completion and escalation of risks when necessary.
Support in developing and implementing digital health strategies, ensuring alignment with hospital, LDG, and regional priorities.
Monitor and report on key performance indicators related to information technology and digital transformation initiatives, including those specific to LDG projects.
Planning, Performance & Business Cycle Support
Lead and support annual planning, budgeting, and performance cycles for the LDG digital portfolio associated THP Division priorities.
Maintain and update divisional and LDG workplans and strategic dashboards.
Track progress against key divisional and LDG digital initiatives, and facilitate quarterly status updates.
Provide controllership over divisional and LDG materials, ensuring alignment with corporate performance management frameworks and regional digital objectives.
Assist in preparing business cases, project plans, and resource allocation for major IT and LDG digital projects.
Support scheduling of key regional meetings and preparation of meeting materials
Support the evaluation and selection of technology solutions for LDG initiatives, ensuring compliance with hospital standards and regulations.
Communications, Briefings & Reporting
Draft and edit speeches, presentations, reports, and internal/external communications related to both LDG digital work and associated division work.
Conduct external and internal research and analysis across a broad spectrum of specialties, including LDG digital priorities.
Leverage business acumen and writing skills to produce high-quality documents for diverse audiences including executives, clinicians, administrators, and LDG stakeholders.
Respond to communications requests, triage inquiries, and ensure strategic, timely, and coordinated responses for both the division and LDG.
Prepare briefings, updates, and reports to present to executive leadership, the board, LDG members, and external stakeholders.
Coordinate communication regarding IT incidents, system upgrades, LDG digital transformation efforts, and project milestones.
Leadership Alignment & Partner Engagement
Lead special projects and initiatives that support divisional, LDG, and organizational priorities.
Coordinate with project leads, senior leaders, LDG members, and cross-functional departments to ensure alignment and progress on digital initiatives.
Facilitate partner engagement and ensure LDG alignment prior to executive meetings.
Support strategic initiatives by enabling collaboration and communication across departments and LDG partners.
Act as a liaison between the CIAO, LDG, IT vendors, regional digital partners, and external consultants to support project delivery and strategic partnerships.
Assist in the coordination of cybersecurity initiatives and risk management activities, ensuring the hospital's and LDG's data and systems are protected.
The ideal candidate for this role will display the following qualifications and skills:
Master's degree in public administration, business administration, healthcare administration, or an equivalent combination of education and experience is required.
Experience working in healthcare, not-for-profit, or government settings at a corporate level is considered an asset, especially in roles involving digital transformation, strategic planning, or information management.
Strong understanding and demonstrated interest in hospital operations, particularly as they relate to digital health strategies, risk management, and information technology.
Proven experience in project management, with excellent organizational and time management skills to support annual planning, budgeting, performance cycles, and coordination of digital initiatives.
Demonstrated ability to multitask and effectively prioritize competing tasks in a fast-paced and dynamic environment.
Proactive approach with the ability to anticipate needs, escalate risks, and support strategic decision-making.
Exceptional interpersonal and communication skills, with the ability to build and maintain relationships across divisions, LDG members, internal teams, external partners, and executive leadership.
Demonstrated ability to collect, analyze, and synthesize data relevant to IT, digital transformation, and divisional performance, and communicate findings effectively to diverse audiences.
Superior analytical and problem-solving skills, particularly in evaluating technology solutions, supporting business cases, and monitoring key performance indicators.
Outstanding writing skills, with a proven ability to draft and edit high-quality speeches, presentations, reports, and communications for executives, clinicians, administrators, and stakeholders.
Demonstrated ability to develop comprehensive reports and presentations tailored to various audiences, including executive leadership, LDG members, and external stakeholders.
Proficiency in Microsoft Excel, PowerPoint, and the Microsoft suite is required, with experience in maintaining dashboards, workplans, and performance tracking tools.
Knowledge of current trends, developments, and regulations in healthcare and the public sector, including governance, management best practices, and compliance with hospital standards.
Ability to travel between the three main sites and satellite locations of Trillium Health Partners as needed to facilitate partner engagement, project delivery, and alignment of digital initiatives.
