Job Description
The Occupational Health and Safety (OHS) Intake Coordinator plays a key administrative and coordination role in supporting the OHS team, helping to maintain a safe and healthy workplace environment. The OHS Intake Coordinator serves as the first point of contact for employees, supervisors, and external stakeholders regarding workplace incidents, injuries, medicals for STD/LTD, immunization requirements, and all other health and safety-related concerns and communication. This role is responsible for managing the intake, documentation, and coordination of all health and safety cases—ensuring timely communication, accurate reporting, and compliance with applicable occupational health and safety regulations and company policies.
Qualifications
Receive and distribute incoming documentations to the appropriate teams, Occupational Health Nurses, Abilities Management Specialist and Safety Specialist
Gather and verify essential information for each situation, including employee details and completion of all OHS forms once received
Ensure all data is accurately documented into Parklane (PL) system
Maintain confidentiality of all case files and documentation
Stay informed about OHS and organizational policies to provide accurate information upon inquiries
Monitor and manage multiple OHS Outlook inboxes for information coming into OHS
Separate and distribute incoming documents for all OHS team members
Create new staff profiles in Parklane using information provided by Talent Acquisition/Human Resources and Medical Staff Office (MSO) for Physician profiles
Maintain updated skills and knowledge of internal OHS Parklane system for proper documentation and downtime support for team
Support the OHS team with preparation and implementation of programs and/or campaigns throughout the year
Support scheduling and coordinating of meetings, training sessions, and employee health appointments
Support OH Physician with scheduling and appointments
Support new staff with onboarding tasks for account set-up, badging, parking etc.
Stay informed on OHS and organizational/internal OHS policies/procedures to provide accurate information to internal and external partners, managers and employees
Create, maintain and share reports with internal partners (i.e. Finance) for receipts and other expenses for employees payable by OHS
Support managers with less than 3-day absences by ensuring medical notes are documented and linked into PL and employee is reimbursed for form completion
Take inventory of supplies and equipment and provide update to OHS Manager for confirmation of purchasing on an ongoing basis
Support with inventory in Wellness Hub room and restock as needed
Support OHS students with program initiatives
Will be the first contact between employees, managers, HR, OHS professionals, and third-party provider
Demonstrates a commitment to customer service when dealing with internal/external partnerships
Ensure confidentiality and compliance with Osler’s policies when handling employee data and information

Hours: Currently days, 8 hours (subject to change in accordance with operational requirements)
Salary:
Minimum: $54,795.00
Maximum: $68,484.00
