As an Administrative Assistant, you will provide administrative support to the Distribution Manager. Your goal will be to provide strong organizational skills and attention to detail. Compose and track correspondence and prioritize phone calls Perform administrative duties such as filing, typing, copying, binding, scanning, set-up for new employees, project support etc. Analyze data, prepare reports and presentations including weekly updates, scorecard objectives and tracking Set-up meetings, prepare and distribute agendas and action items; ensure all people and documentation required are available Conduct inquiries on various projects / issues. Follow-up on requests for information and any actions required for outstanding items Coordinate travel arrangements for Director, team members, and external candidates Be sufficiently aware of company issues to provide information and answers for routine matters, particularly when their manager is away from the office Provide information by answering questions and requests to support Director/Senior Manager in making knowledgeable decisions Provide support and training to more junior Administrative Assistants who may be on same, or closely related, teams. May provide direction of their work activities Work collaboratively with other senior Administrative Assistants and Executive Assistants to support broader business, determine priorities, cascade information, improve processes, etc. Your Skills: Excellent communication skills, both oral and written Excellent time management skills Strong organizational and planning skills Strong interpersonal skills Strong knowledge of MS office applications, particularly Excel and PowerPoint Your Experience: 3-5 years of experience Undergraduate degree in field of business is an asset Irving Oil is committed to supporting a diverse and inclusive work environment.
