Hours: Monday to Friday 8:30 a.m. to 4:30 p.m. Work Categorization: Hybrid – Combination of on-site (at least 3 days/week) and remote work. Position Summary:The incumbent reports to the Senior Associate Registrar, Enrollment Services. The incumbent is responsible for the administration related to the admission, registration and graduation of students. In order to achieve this, the incumbent is required to make decisions, participate in communicating a wide variety of information, maintaining detailed academic records and processing applications from www.ontariocolleges.ca. The incumbent is a subject specialist on admissions assessments, registration, and student record progression. They play a key role in the promotion of goodwill between the college community and our students. They must ensure that all possible assistance is provided to students to facilitate their education and future employment. Duties and Responsibilities: Admissions, Registration and Progression Responds to inquiries from students internal and external to the College Community, in compliance with the regulations of the Freedom of Information and Protection of Privacy Act (FIPPA). Processing application for admission for all full-time and part-time programs ensuring that inquiries are responded to and decisions are conveyed, in a timely manner. Determine eligibility by evaluating Ontario, Out-of-Province, International Secondary School, College and University academic documents to determine validity of the institution and credentials for program eligibility. Ensures the applicant has completed the program specific requirements, records Departmental decisions and documents verifying compliance to these requirements. Receives and evaluates test results including IELTS, TOEFL and CAEL English language assessments. Ensures that all required documentation has been received and reviewed in order to comply with Citizenship and Immigration Canada student visa requirements. Ranking of applicants for highly competitive oversubscribed programs. Recommends a course of action to unsuccessful applicants. Responsible for monitoring statistics for their assigned programs to meet College enrolment targets without exceeding capacity. Liaise with Coordinator/Associate Dean to obtain special registration requirements and course loads for off-cycle students. Responsible for the cyclical admission and registration of students. Advises students of the College’s withdrawal policy and potential financial and immigration repercussions, suggests alternate course of action. Preparation of various documentation. Administers and interprets Federal, Provincial government and College policies and procedures. First Point of Contact Service Provides direct service by being present on the front line of either the Oxford street or Dundas street campuses (future offices may open). Available for tier two support on phone lines during work day. Qualifications: Post-secondary 2-year diploma with all disciplines being considered Minimum 3 years’ progressive office experience in a service area or in a business office setting An equivalent combination of education and experience may be considered Experience in a student service environment or Office of the Registrar preferred Expert user of Microsoft Office suite Experience using student information systems Demonstrated strong organizational skills and attention to detail Demonstrated ability to work independently and as a team Demonstrated excellent verbal and written communication skills Educational Credentials While transcripts are not required for the interview, they are mandatory as a condition of employment.
