The Onsite Project Coordinator plays a vital role in supporting the successful delivery of large-scale projects. This position ensures smooth day-to-day coordination of documentation, logistics, and communication between field and office teams. Working closely with the Project Manager and Site Superintendent, the Onsite Project Coordinator helps maintain organization, compliance, and efficiency across the project lifecycle.
Key Responsibilities
Project Support
Assist the Project Manager and Site Superintendent in executing project plans, schedules, and milestones.
Maintain organized project records including drawings, specifications, permits, and change orders.
Track and distribute RFIs, submittals, and site instructions to relevant stakeholders.
Coordinate and document site meetings, ensuring minutes and action items are communicated and followed up
Site Operations
Support daily logistics, deliveries, and equipment scheduling.
Track attendance of contractors and trades, ensuring they receive required site information and documentation.
Monitor material inventory and assist with procurement and delivery coordination.
Support site access, security protocols, and compliance with company policies.
Safety Compliance
Assist in enforcing safety policies and procedures by maintaining records and ensuring documentation is up to date.
Support safety efforts by assisting with orientations, toolbox talks, and incident documentation.
Participate in site walk-throughs to document and report hazards or non-compliance issues.
Administration and Reporting
Act as the administrative point of contact between site teams, head office, and consultants.
Compile data and assist in preparing regular project updates for review.
Support coordination with inspectors, consultants, and client representatives.
Process time sheets, delivery slips, and site logs accurately and on time.
Assist in preparing progress reports, cost tracking updates, and close-out documentation.
Support payroll, invoicing, and expense reporting for site activities.
INDPRO
Diploma/degree in related field.
Minimum 3 years of experience in site/project coordination of large scale projects
Strong organizational and communication skills.
Proficiency in MS Office; familiarity with project management software (e.g., Procore, MS Project).
Ability to read construction drawings and documentation.
Knowledge of safety regulations and compliance standards.
Detail-oriented, adaptable, and able to manage multiple priorities.
