Position Title: Medical Policy Writer
Status: Temporary Full -Time (12 month contract, potential to become permanent)
Hours: 8 am - 4 pm, Monday to Friday
Position Purpose
The Infrastructure team supports the overall vision, mission, and values of Mayfair. Our mission is to improve people’s lives, one focused image and one caring, compassionate human touch at a time. To accomplish this, we must provide and monitor state-of-the-art technology and facilities. The Infrastructure team is responsible for the upkeep and accreditation of Mayfair’s diagnostic imaging equipment and facilities. The team also oversees and monitors all technical aspects of our clinical staff’s performance subsequent to image and/or exam quality.
The Infrastructure Specialist will have some technical clinical background in order to work alongside the modality coordinators to monitor and assess image quality and technologist competence. This is relevant to assisting with the correction of clinical deficiencies pertaining to each modality, as well as working closely with equipment vendors, managers, and modality coordinators to facilitate all aspects of equipment service, new equipment installations, and facility renovations.
Reporting
The Infrastructure Specialist reports directly to the Director, Infrastructure.
Responsibilities
Policy Development and Stewardship
Lead the development, drafting, revision, formatting, and cataloging of all policy, procedure, and guideline documents across clinical modalities and multiple departments such as IT, HR, Marketing, Operations, etc.
Maintain comprehensive understanding of Mayfair’s policy framework and how policies interact with the patient care environment.
Oversee policy templates, naming conventions, and version control processes.
Collaboration with Experts
Partner with modality coordinators, infrastructure, and operational leaders to ensure content accuracy, clarity, and alignment with clinical practice and regulatory standards.
Coordinate SME input and integrate feedback into finalized documents, ensuring Infrastructure approval prior to publication.
Regulatory Alignment and Research
Monitor CPSA, CPSS, CAR, OHS, and other regulatory standards to ensure policy alignment.
Identify required updates or new policies resulting from changes in standards or legislation.
Document Control and Quality Assurance
Ensure adherence to the Policy Development Framework, internal style guides, and documentation standards.
Edit and proofread for clarity, consistency, and technical accuracy.
Communication and Knowledge Transfer
Produce summaries and cross-departmental communications outlining policy updates.
Participate in Infrastructure meetings to review upcoming policy changes and ensure compliance alignment prior to release.
Workflow and Prioritization
Manage multiple writing projects with competing priorities and timelines.
Maintain tracking tools or dashboards that document policy progress, review dates, and SME ownership.
Qualifications
Bachelor’s degree in a health-related field, communications, or technical writing.
Medical terminology training required.
Active registration with an Alberta or Saskatchewan regulatory college (e.g., Sonography Canada, CAMRT, ACMDTT) considered a strong asset and mandatory if maintaining a modality designation.
Minimum 2 years of relevant experience in policy writing, quality documentation, or a clinical/regulatory environment.
Prior diagnostic imaging or experience in a medical background strongly preferred.
Demonstrated ability to translate technical or clinical content into structured, compliant documentation.
Familiarity with CPSA and/or CPSS accreditation standards and Alberta Health and/or Saskatchewan Health regulations considered a significant asset.
High proficiency in Microsoft Word, SharePoint and document control systems
Capable of managing structured document libraries and revision tracking
Exceptional written and verbal communications skills with meticulous attention to detail
Proven ability to collaborate effectively with clinical and administrative teams
Strong organizational and time management skills with the ability to work independently
Working Environment
Infrastructure is a dynamic team made up of people from diverse backgrounds, this diversity provides unlimited opportunities to learn from other people’s perspectives and abilities.
The Infrastructure team all work within one large office, requiring the ability to work in close proximity to others.
Requires use of the phone, computer, and sitting for extended periods of time.
Normal movements of twisting, bending, reaching, and using hands and arms in completing paperwork and administrative tasks.
Ability to demonstrate an awareness and understanding of ergonomics.
Must be prepared to work flexible hours as required to complete the scope of their duties.
