About the Role:
The Property Administrator is a key member of the Infinity Property Services-Metis Nation of Ontario team and provides service, coordination and support within an assigned Property Management Region (PMR). Reporting to the Operations Manager, the Property Administrator is responsible for a variety of services related to the operation of residential housing properties in the not-for-profit and market-rent sectors. Duties and responsibilities include, but are not limited to tenant and client relations, vacancy reporting, bank deposits, Accounts Receivable (A/R) reporting, Accounts Payable (A/Pl processing, budgeting, supplier invoices, rent roll review and production, communication, and administration functions relating to paralegal services.
What you will be doing:
Providing exceptional customer/tenant relations in an assigned Property Management Region (PMR);
Maintaining an average vacancy rate of 5% (or lower) for all clients of Infinity Property Services—Metis Nations of Ontario;
Managing the tenant/client relationship and complaint process, in conjunction with the Property Inspectors, to ensure timelines are met and complaints are resolved;
Preparation, processing and payment of purchase orders with invoices;
Assisting in the management of accounts payable and supplier invoices;
Assisting in tenant application process (I.e. Application Waitlists, Interview, Offer of housing, and Tenant Selection);
Coordinating the issuance of appropriate LTB notices to Tenants with paralegal services and complete late rent letters and other communications directly to tenants;
Conducting rent collection and the follow-up on the collection of rent and arrears;
Coordinating L1 applications (E-File) with paralegal services for any tenant accounts where rent was not paid by deadline of an N4 notice. Providing documentation as required;
Coordinating all other applications (E-File) with paralegal services for any tenant accounts other than for non-payment of rent. Providing documentation as required including preparation of video surveillance files and coordinating witnesses;
Coordinating programs inclusive of but not limited to lighting, inspections, leasing/tenant, tenant move ins and move outs and tenant tours etc.;
Responsibility for the mail-out and administration associated to verification of income (VOI) documents;
Completing annual income reviews; follow up with tenants as necessary for missing documents and updated income verification, complete special income reviews immediately. Data entry as required;
Creating, reviewing and monitoring all unit purchase orders in preparation to occupy units in respective PMR;
Assist in monitoring vendors, vendor performance, vendor contracts and vacant unit work, in preparation to occupy units in respective PMR in coordination with the property Inspectors
Completing adjustments to accounts for change of rent as required (with approval by Operations Manager);
Reviewing / producing the monthly rent-roll, arrears reporting, post adjustments and prepaid as per the clients monthly requirement for assigned PMR. Providing reporting as required;
Liaising with client/customer staff, lease administrators and legal/paralegal services to ensure the accuracy of information;
Coordinating tenant document control, act as tenant liaison and provide exceptional communication;
Providing administrative duties including the answering and dispatching of telephone calls, receipt and distribution of mail etc. Upload to software as required;
Responding to requests and calls from residential tenants and our clients relating to common areas and/or matters;
Assisting the Operations Manager to coordinate regular meetings and record minutes as required;
Dispatching inspectors, maintenance and security to tenant calls as well as other calls;
Participate in the after-hours emergency on-call schedule to insure 24-hour coverage (on rotation with other staff) on an occasional basis
Promotes the values of the organization within the workplace and in the community by demonstrating positive and professional relationships with others (employees, citizens, council, volunteers, advocates, etc.)
Reports all unsafe conditions, hazards or practices, accidents and incidents in accordance with the Occupational Health and Safety Act and adheres to all Health and Safety requirements within the MNO’s policies and procedures and provincial legislation.
Performs other job/branch-related duties as required.
Qualifications:
3 to 5 years of experience residential property administration experience
Demonstrated experience in client service; i.e. providing advice and guidance to clients, pre-screening, interviewing, and assessing financial circumstances quickly and accurately.
College Diploma (1 or 2 year)
Experience in the management and administration of a residential rental environment.
Proven experience working efficiently and effectively as part of a team, as well as independently.
Proven ability to work well under pressure and meet set deadlines while maintaining a high level of accuracy.
Familiarity with the Residential Tenancies Act, Housing Services Act, Landlord and Tenant Tribunal, Ontario Rental Housing Tribunal, Ontario Building Codes, and Geared to Income Housing criteria
Advanced knowledge of MS Office (Excel, Word) and a high degree of digital literacy. Willingness and ability to adapt to and learn new software.
Excellent communication skills, both written and verbally.
Demonstrated problem-solving, time management and analytical skills to prioritize work load pressures and deadlines.
Must have a valid Ontario “G” driver’s license
