We are seeking a highly skilled Assistant Controller / Accounting Manager to oversee day-to-day accounting operations, support month-end and year-end processes, and assist in managing the financial integrity of our rapidly growing organization.
Position Summary
The Assistant Controller / Accounting Manager is responsible for managing full-cycle accounting, supervising accounts payable and expense management, overseeing payroll, supporting project accounting, and maintaining accurate financial records for all entities. This role requires strong technical accounting skills, excellent organizational ability, and experience working in a high-complexity environment—ideally aviation, engineering, or multi-entity operations.
The successful candidate will work closely with the Controller and Finance team to enhance financial processes, ensure compliance, support internal controls, and contribute to strategic financial planning.
Key Responsibilities
Daily Responsibilities
Enter foreign exchange (FX) AP transactions and corporate VISA transactions.
Track and verify corporate credit card receipts and coding.
Communicate with vendors to obtain missing invoices or supporting documentation.
Liaise with maintenance stores to verify purchase orders and obtain detailed information for aircraft asset accounts.
Monitor daily banking activity and update payments, deposits, and receivables.
Review daily payable entries and adjust coding, projects, or allocations as necessary.
Weekly & Bi-Weekly Responsibilities
Review the Accounts Payable list for accuracy and approval readiness.
Prepare EFTs, wires, and cheque payments after management approval.
Coordinate with consultants regarding project expense allocation and coding.
Process bi-weekly payroll, including payroll remittances and year-to-date reconciliations.
Support AR processing and ensure timely posting of customer invoices.
Monthly Responsibilities
Perform month-end reconciliations for all bank accounts and credit card accounts across multiple entities.
Prepare and post monthly journal entries, including:
Insurance allocations
Loan payments and interest
Prepaids and amortization
Deposits and deferrals
Collaborate with instructors and consultants to confirm salary and cost allocations by project.
Review project lists and revenue schedules; prepare and post project revenue recognition entries.
Support preparation of monthly financial statements and management reporting.
Additional Responsibilities
Assist with annual audit preparation and external auditor documentation requests.
Maintain and enhance internal controls, accounting procedures, and financial accuracy.
Support the transition to new financial systems or ERP software.
Provide supervisory support to AP/AR team members and assist with training when necessary.
Contribute to financial process improvements and efficiency initiatives.
Ensure compliance with internal policies, CRA requirements, and accounting standards.
Qualifications
Required
Bachelor’s degree in Accounting, Finance, or Business.
Senior accounting student working toward CPA designation (or near completion).
Minimum 3–5 years of progressive accounting experience.
Strong knowledge of full-cycle accounting, payroll, and month-end close.
Experience with Sage 50, Sage Intacct, or similar accounting systems.
Strong proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, analysis).
Excellent accuracy, attention to detail, and problem-solving ability.
Strong communication skills and comfort working cross-departmentally.
Ability to thrive in a fast-paced, multi-entity environment.
Preferred
Experience in aviation, engineering, education, or technical environments.
Experience with project accounting or revenue recognition.
Knowledge of foreign exchange transactions and multi-currency accounting.
Experience supervising or mentoring junior accounting staff.
