Role Overview:
We’re seeking a highly organized and proactive Executive Assistant to support our CEO, CFO and finance leadership team. This role goes beyond calendar management—it’s a strategic support function that includes HR onboarding/offboarding, employee data management, light project coordination, and departmental support. The ideal candidate thrives in a global environment, brings discretion and precision to sensitive tasks, and enjoys contributing to cross-functional initiatives. This role is based in office in Calgary, AB.
Key Responsibilities:
Executive Support
Manage complex calendars, travel arrangements, and meeting logistics for the CEO and CFO
Prepare executive-level communications, reports, and presentations
Handle confidential information with discretion and professionalism
Project Management & Departmental Coordination
Track and support internal finance projects (e.g., vendor transitions, audit prep, system upgrades)
Assist with documentation, timelines, and cross-functional follow-ups
Complete corporate forms, applications, and filings on behalf of the department
Help organize quarterly planning sessions and department-wide communications
Process Improvement & Systems Support
Identify opportunities to streamline administrative workflows
Support adoption of finance tools and automation platforms (e.g., expense reporting, payroll/HRIS systems)
Maintain department files, SOPs, and shared resources
HR & Administrative Operations
Coordinate onboarding and offboarding processes for U.S. employees
Maintain accurate employee data and records in HR/finance systems
Support compliance with internal policies and documentation standards
General Office Administration
Manage office supplies, including tracking inventory, ordering materials, and coordinating with vendors.
Serve as the main point of contact for the building management or leasing office regarding maintenance requests, access cards, parking, and facility issues.
Qualifications
5–10 years of experience supporting senior executives, preferably in finance or operations
Extremely detail-oriented with exceptional organizational skills
Strong project coordination skills and comfort with cross-functional teams
Experience with HR onboarding/offboarding and employee data management
Exceptional written and verbal communication skills
High proficiency in Microsoft 365 (Outlook, Excel, Teams, PowerPoint)
Experience with finance or HR systems (e.g., NetSuite, Workday, BambooHR) an asset
Payroll processing experience (ADP, Paycom, Gusto, or similar) a plus
Notary Public certification an asset
