The HR Coordinator provides vital support across payroll processing, employee relations, and HR operations. Reporting to HR leadership, this role contributes to the efficient administration of payroll and compliance with legal requirements while ensuring a seamless employee experience throughout the employee lifecycle. The HR Coordinator plays a key role in supporting HR functions, enhancing operational effectiveness, and executing programs across the organization.
Job Description
Payroll Processing Support
Execute end-to-end payroll processing for a multi-provincial employee base, ensuring compliance with federal and provincial regulations.
Respond to employee payroll inquiries and promptly resolve discrepancies.
Conduct payroll analysis and validations, preparing reports for management review.
Maintain accurate payroll records and ensure proper documentation is retained for all processed transactions.
Collaborate with internal teams to audit non-discretionary bonuses and commissions, ensuring accurate calculations for overtime pay rates.
Assist with audits, including quarterly, year-end, internal, and external payroll reviews; provide relevant documentation and explanations.
Partner with the Payroll Specialist to monitor payroll-related trends, tax updates, and compliance requirements in Canada.
HR Business Partner Support
Support onboarding by conducting new hire sessions and completing SIN (Social Insurance Number) and tax form compliance checks.
Manage offboarding processes, including voluntary separations, final pay submissions, IT separation requests, and return of equipment.
Ensure employees receive pertinent exit information, including federally and provincially mandated documents.
Handle Employment Insurance (EI) claims and compliance tasks such as minimum wage updates, provincially required workplaceposters, handouts, reporting, and communications.
Draft and send confirmation letters for off-cycle pay adjustments and promotions, as well as repayment and recoupment letters.
Assist with leave-of-absence (LOA) processing and proactive support for workplace accommodations, worker’s compensation compliance, and return-to-work protocols, following Canadian standards.
Operations and Program Support
Maintain digital personnel files (CartaHR), ensuring accuracy and integrity; manage document updates.
Address system-related queries and issues for talent systems (e.g., ECM, My Wings, Amplify).
Provide additional operations support, such as creating SAP reports and answering employee questions.
Help coordinate and training events and leadership programs, including Flight Academy.
Partner with Internal Communications on all employee announcements
Serve as an operational liaison, coaching employees on the use of HR tools, resources and health benefits.
Qualifications
Bachelor’s degree strongly preferred; high school diploma or equivalent required.
1+ years of experience in payroll processing and 1+ years of HR support experience.
Proficiency with HRIS systems (e.g., Ceridian Dayforce) and advanced MS Excel skills (e.g., VLOOKUP, pivot tables, functions).
Strong analytical, organizational, and problem-solving skills.
Knowledge of Canadian payroll regulations, employee benefits, and HR compliance laws.
Exceptional interpersonal and communication skills with the ability to interact across diverse teams and management levels.
SAP experience preferred
