Program Coordinator, Executive Education, Edwards School of Business
The Executive Education unit within Edwards School of Business is focused on providing market-relevant non-degree programming for business executives and professionals, offering both customized programs for organizations and public workshops in various business disciplines. This unit fosters and promotes lifelong learning for working professionals and strengthens the connection between the business community and the Edwards School of Business.
Primary Purpose:
The Program Coordinator ensures the seamless delivery of Executive Education programs by managing logistics, coordinating program preparation, and serving as a key resource for participants, providing guidance and support to enhance their learning experience.
Nature of Work:
Reporting to the Business Operations Manager, this position will be responsible for the planning, coordination, and execution of Executive Education programs. This role involves working closely with faculty, staff, and external stakeholders to ensure the seamless delivery of high-quality educational experiences. The Program Coordinator will also handle logistical and administrative tasks, ensuring that all aspects of the programs run smoothly and efficiently.
This position is subject to constant internal and external deadlines and shifting priorities. Discretionary decision-making is required. The incumbent will provide outstanding customer service, fostering enthusiastic professionalism and cultivating strong relationships with internal and external constituents and stakeholders to ensure our customers have a positive and lasting impression of their Executive Education experience.
Flexibility in working hours is necessary, as there will be some early mornings, evening and weekend commitments. Some travel may be necessary to coordinate off-site program.
Accountabilities:
Program Planning and Coordination
Develop and maintain processes, procedures, and timelines supporting program schedules, facilitator assignments, and participant communications.
Support program content and learning materials to ensure alignment with program objectives and participant needs.
Presents opening and closing remarks for program delivery.
Produce materials necessary for program delivery.
Manage the learning management system (Canvas) to ensure that participants have access to appropriate program materials.
Train and support facilitators on virtual platforms used for program delivery.
Monitor online learning environment and liaise with Information Technology Support Services, Edwards School of Business as needed to optimize participant experience.
Assist in maintaining program budgets and supporting financial reconciliation of programs.
Logistics Management
Manage data entry and maintenance for executive education programs, ensuring accuracy and consistency using registration database systems.
Arrange and contract program venues, accommodations, and hospitality services as necessary.
Manage the setup and teardown of program facilities, ensuring all necessary materials and equipment are available and functional.
Oversee on-site execution of programs and promptly address any issues that arise during program delivery.
Participant Support
Serve as the primary point of contact for program participants, addressing inquiries and providing necessary information.
Proactively engage with participants in the classroom to ensure program delivery is an outstanding service experience.
Collect and respond to participant feedback to enhance future program offerings.
Stakeholder and Customer Service
Collaborate with Sales and Marketing team to identify potential leads and help generate participant referrals.
Ensure positive interaction and first-rate engagement with current participants, prospective registrants, vendors, facilitators, and all other stakeholders for executive education programs.
Assess and interpret participants training and development needs and advise them on further personal and professional development growth.
Qualifications:
Education
Bachelor degree, preferably Commerce, with a human resources or management major or other equivalent education (degree) and experience.
Experience
Three to five years of progressive experience in program coordination, preferably in an educational or training and development setting. Customer relationship management is required.
Skills
Excellent organizational and multitasking skills, with a strong attention to detail.
Proactive in anticipating program needs and prioritizing tasks to meet deadlines effectively.
Demonstrated excellence in all aspects of program planning, coordination and implementation.
Exceptional communication skills, both written and verbal, with a proven track record of working independently, collaboratively, and as an effective team member. Skilled in building and maintaining relationships with internal and external stakeholders.
Commitment to delivering superior customer service and maintaining high standards of quality.
Familiarity with learning management systems and online education platforms.
Ability to maintain confidentiality and advanced proficiency in CRM systems, Microsoft Word, Excel, PowerPoint, Publisher, and Outlook.
