Position Title: Professional Services Project Contract Administrator
Department: Professional Services
Reports To: Director of Professional Services
Location: PureLogic IT, 135 Michael Cowpland Dr, Kanata Ontario
Position Summary
The Professional Services Project Contract Administrator is responsible for managing, coordinating, and maintaining all contractual and administrative aspects of PureLogic’s service delivery projects. This role ensures that contract obligations are met, documentation is accurate, stakeholders are aligned, and project operations run smoothly and in compliance with client, vendor, and organizational requirements.
Key Responsibilities
Contract Management & Compliance
Review, interpret, and maintain contracts, Statements of Work (SOWs), amendments, and project deliverables.
Monitor contract obligations, service levels, KPIs, and milestones to ensure full compliance.
Track contract dates, renewals, extensions, and closeouts.
Ensure all contract changes are documented and approved.
Ensure all contracts with security obligations are aligned with corporate security posture.
Financial & Procurement Support
Assist in preparing project budgets, forecasts, and financial tracking aligned to contract terms.
Validate vendor invoices, internal time entries, and deliverable-based payments.
Coordinate purchase orders, subcontract agreements, and procurement documentation.
Support financial audits by providing necessary contract-related records.
Documentation & Reporting
Maintain accurate and organized contract and project documentation.
Prepare regular status reports on contract performance, risks, deliverables, and compliance.
Ensure proper version control, document tracking, and audit readiness.
Change & Issue Management
Process and track change requests, ensuring proper approval workflows and documentation.
Identify contract issues, risks, or gaps and escalate them appropriately.
Maintain logs for changes, risks, issues, deliverables, and dependencies.
Vendor & Subcontractor Coordination
Support onboarding and compliance verification for subcontractors or partner vendors.
Track subcontractor performance and ensure alignment with master contract requirements.
Ensure subcontractor agreements include appropriate flow-down clauses.
Client & Stakeholder Support
Serve as a liaison between project managers, legal, finance, procurement, and client teams.
Respond to client requests for contract documentation, deliverables, or administrative information.
Prepare materials and documentation for client or internal governance meetings.
Project Administration
Support project management activities such as scheduling, meeting coordination, status reporting, and document control.
Maintain project repositories, dashboards, and administrative tools.
Assist with compliance requirements such as security checks, privacy documentation, or government onboarding (if applicable).
Risk & Governance
Support governance processes including audits, compliance reviews, and risk assessments.
Track adherence to regulatory, privacy, cybersecurity, and company policy requirements.
Maintain compliance logs and help implement corrective actions where necessary.
Qualifications
Education & Experience
Diploma or Bachelor’s degree in Business Administration, Project Management, Information Technology, or related field.
2–5 years of experience in contract administration, project coordination, or IT services administration (or equivalent experience).
Experience supporting IT professional services, managed services, or government contracts is an asset.
Skills & Competencies
Strong understanding of contract terminology, SOW structures, and project delivery frameworks.
Excellent organizational and documentation skills with attention to detail.
Intermediate to advanced proficiency in Microsoft Office, project management tools, and document repositories.
Strong communication and stakeholder management abilities.
Ability to work under deadlines and manage multiple priorities simultaneously.
Knowledge of procurement processes, invoicing, or financial tracking is beneficial.
