We are seeking a strategic and collaborative Manager, Volunteer Resources, to lead the Volunteer Resources Program at Women’s College Hospital, ensuring volunteers are supported, engaged, and empowered to enhance patient care and the overall hospital experience.
Summary of duties, but not limited to:
Strategic Leadership
Provides leadership for the hospital program development of Volunteer Resources in a manner which promotes the delivery of optimum levels of care/service in a manner consistent with the short- and long-term strategic directions of the organization.
Contributes to the development of strategic plans within the organizational portfolio and partners with hospital staff and Auxiliary partners.
Prepares long-range strategies for ensuring that all stakeholders are effectively supported by quality standards that conform to practices of other hospital programs and policies.
Leads the Volunteer Engagement Survey process, analyzing results and developing/implementing strategies to enhance volunteer engagement and overall program effectiveness.
Program Management
Ensures the development of relevant hospital policies, procedures and practices to guide service delivery; allocates resources to meet program objectives and fosters collaboration among all customers, including volunteers, patients, staff, physicians, families and community.
Manages and reviews the expectations work/program schedules of hospital staff and volunteers.
Collaborates with management to ensure proper utilization and supervision of volunteers. Works with hospital staff to enhance programs and ensure that the role created is appropriate for volunteers. Ensures all volunteer placements adhere to collective agreements.
Ensures the compilation of accurate statistics on volunteer hours and areas services.
Develops, reviews and administers evaluation tools for the entire Volunteer Resource Program, to be completed by both volunteers and staff.
Participates in external community functions to promote Volunteer Resources. Creates partnerships to support volunteerism.
Plans and executes recognition activities for all hospital volunteers. Leads and liaises with Auxiliaries and hospital staff to encourage recognition to happen on a regular basis.
Coordinates and prioritizes all hospital requests for volunteers. Evaluates each request for risk management and impact on paid positions (union) and develops and maintains tracking tools in order to report activity.
Develops Recruitment and Retention strategies to support sufficient numbers of volunteers for hospital programs and services
Supports hospital staff and partners to understand appropriate roles and tasks of all volunteers as well as how to work effectively with same within the healthcare environment
Financial Management
Develops an Annual Program Budget for operational expenses, capital expenditures and income.
Collaborates with the Director, Human Resources & Volunteers in prioritizing available resources to meet program objectives and analyzes and reports on budgets throughout the fiscal year. Forecasts needs for the program budget.
Human Resource Management
Works with the staff team and Auxiliary partners to develop a Recruitment Plan to support sufficient volunteer coverage across the Volunteer Resources Program.
Recruits and screens volunteers, ensures general orientation and unit specific orientation/training for new staff, volunteers; monitors performance of staff and volunteers; oversees performance and manages staff and volunteers; monitors occupational health and safety issues in work area; promotes training and development opportunities for hospital staff which are consistent with program objectives.
Quality Improvement
Develops and monitors quality indicators for Volunteer Resources, collaborates in related Quality Improvement and Risk Management (QI/RM) initiatives; monitors service delivery frameworks against developing trends within the profession and makes changes to promote improved service delivery.
Ensures annual review of Emergency Codes for all staff and volunteers.
Ensures program policies and procedures are accurate and up to date.
Ensures all forms and documents utilized by the program are standardized and meet hospital requirements.
Ensures position descriptions are created and accurate for each volunteer program and that each volunteer within that program receives a copy.
Ensures that all written materials pertaining to the programs are accurate and up to date.
Ensures an open-door policy is in effect at all times to allow feedback and to resolve any concerns within the Program.

Qualifications
University degree or equivalent
Minimum 7 years experience working in a Volunteer management capacity
Volunteer Resource Management Certificate
Advanced knowledge of Volunteer Management theory and practice.
Working knowledge of hospital structure and operations and clinical programs.
Working knowledge of current trends in volunteer management and health care.
Working knowledge of Auxiliaries within a health care setting
