Job Title: Facilities Coordinator
Job Description
The primary role of the Facilities Coordinator is to support and monitor the performance of a small team of multi-skilled operatives. This position requires developing close working relationships with key stakeholders, including landlords, managing agents, and all facilities vendors. The Facilities Coordinator ensures tasks are completed accurately and promptly.
Responsibilities
Collaborate with operators and Operations Managers to manage service requests using Corrigo CMMS, ensuring requests are updated from assignment completion through vendor invoice submission.
Administer service work using JLL Corrigo CMMS.
Monitor the performance of and coordinate a small team of multi-skilled operatives.
Develop close working relationships with stakeholders, partners, landlords, managing agents, and all facilities vendors.
Assist in managing contractors onsite to ensure they meet required standards.
Support vendor and service procurement as needed.
Participate in financial processes to meet timely and accurate financial management requirements.
Ensure prompt and accurate management of purchase orders within the internal financial management platform.
Assist with monthly accrual reports and finance tracker monitoring.
Conduct site inspections, assessments, regular audits, and safety procedures, as well as ad-hoc duties and performance measures.
Help implement the property risk management program and industry best practices.
Maintain premises in neat and working condition.
Support implementation and monitoring of disaster recovery and business continuity plans.
Follow established escalation and incident reporting procedures.
Provide support for regular management reports and projects.
Achieve Key Performance Indicators (KPI) and Service Level Agreement (SLA) targets.
Essential Skills
Ability to work independently and as part of a team.
Self-motivated with a confident and energetic attitude.
Excellent verbal and written communication skills.
Ability to work well under pressure and be flexible.
Bachelor's degree in a related field.
Strong understanding of Microsoft Word, Excel, and Outlook.
Clean driving record.
2+ years of experience in facilities/operations coordination, preferably in a property setting.
Experience with Corrigo or other CMMS (Computer Maintenance Management System).
Familiarity with operations and engineering for commercial buildings (BAS, boiler plant, chiller plant, etc.).
Work Environment
This position offers a hybrid work environment with flexibility on location. While contractors can be onsite, it is not a requirement. The role follows a Monday to Friday schedule, from 8am to 5pm, with free parking available for all employees if they go onsite.

The pay range for this position is $28.00 - $28.00/hr.
