Position Summary
Reporting to the Program Coordinator, the Camp Director - Administration, will be responsible for providing administrative support for the summer camp programs. This includes managing camp related waitlists, responding to customer inquiries, receiving and processing registrations and program calls, assisting with payroll, supply and equipment orders, record keeping and other camp support functions. This position will complement the Camp Director team, attend camp trainings and assist with the coordination and implementation of the City Wide Day Camps and Before and After Camp Programs. Follow policies and procedures, while delivering camp services. Work effectively with Coordinator, Directors, Supervisors, peers, participants and the public.Key Duties and Responsibilities
Receive and process payments for registrations using the Activenet Point of Sale module
Manage summer camp program waitlists, contacting participants to offer available spaces and providing direction or completing the registration with payment.
Monitor camp enrollment numbers and make recommendations for cancelling programs with low enrollment.
Handle customer registration inquiries including looking up participant registration information
Update client account information including email addresses for the Active RH online registration system
Track campers absences, work with the registrar to manage subsidy tracking and reporting requirements
Following all cash handling and deposit procedures in accordance with Richmond Hill Policies and Procedures
Perform processing and reporting of all facility payments and daily cash balancing including accurately completing all required forms in accordance with Richmond Hill Policies and Procedures
Ensure that patrons pay the appropriate fees for summer camp registrations
Greet customers, respond to phone and email inquiries and maintain excellent customer service at all times.
Order sports, arts and crafts, and games equipment/ supplies.
Ensure all invoices, for equipment, special guests and bussing, are processed in a timely manner.
Record and track all camp expenditures in the appropriate databases.
Develop resources for Camp Supervisors to assist in the development and implementation of programming.
Ensure camper attendance lists and rosters are printed and provided to the Camp Supervisors
Provide ongoing supervision and evaluation of the Camp Supervisors and Camp Counsellors.
Work with the Program Coordinator to monitor the number of children registered in the Camp Programs and ensure the appropriate number of staff are working to meet the camper to staff ratios.
Ensure campers safety and security throughout the day.
Communicate and interact with participants and make everyone feel welcome
May be required to visit and interact with all camps within the assigned geographical area.
Ensure the camp staff payroll is completed and submitted to the Program Coordinator in a timely manner.
Complete all necessary forms (accident, incident, daily report, risk management) in a timely and accurate manner.
Represent the City of Richmond Hill by presenting yourself in a cooperative, organized, enthusiastic and well-groomed manner.
Wear assigned uniform and name tag.
Attend scheduled staff meetings and staff training sessions.
Know and understand the policies and procedures of the Community Services Department.
Maintain excellent public relations at all time, with staff and the public.

Education and Experience
High School Diploma
Standard First Aid and CPR C Certification
High Five Certification
Required Skills/Knowledge
Team player.
Superior organizational skills and the ability to consistently meet deadlines in a multitask environment.
Strong written and verbal communication skills.
Background knowledge in program planning including crafts, music, sports and games.
Previous experience in a day camp setting, supervising staff and dealing directly with the public.
Strong leadership, communication, organization and administrative skills.
Computer skills, including working with Microsoft Office Suite and ActiveNet
Must possess a valid Ontario Class "G" Driver's License, and have access to a vehicle for use on corporate business (mileage compensated) and will be required to provide proof of vehicle insurance upon hire
Requires satisfactory Police Vulnerable Sector Check
