Job Summary This position within the International Student Initiative (ISI) is integral to the achievement of the University’s international undergraduate enrolment goals. With direction, this position will plan, coordinate and implement a variety of effective and innovative on-campus recruiting and prospective student advising services, and programs for international students, their parents and counselors visiting UBC’s Okanagan campus, liaising closely in this regard with the Campus Tour Program managed by the International Student Initiative on the Vancouver campus and by Student Recruitment and Advising (SRA) on the Okanagan campus. Regularly gives presentations and undertakes group and one-on-one advising to this effect. Provides effective recruiting and advising services to international students and Canadian students schooled outside of Canada, as well as international students schooled within Canadian colleges and high schools, in support of the International Student Initiative’s enterprise-wide mandate to meet the Faculties’ international enrolment targets in undergraduate programs as well as in select other programs that have been identified as strategic initiatives for the University. Organizational Status Reports to the Manager, International Recruitment, UBC Okanagan on a strategic and operational basis. Works closely and collaboratively with other ISI staff and in particular the recruiting teams on both the Vancouver and Okanagan campuses; Student Recruitment & Advising (domestic) staff; Staff in the Recruitment Marketing and Prospective Student Engagement; other units in Enrolment Services, particularly International Admissions, Staff within the Global Engagement Office, Faculties and liaises closely with the Campus Tour Program managed by the International Student Initiative on the Vancouver campus and by Student Recruitment and Advising (SRA) on the Okanagan campus. This position supervises student staff, works collaboratively with fellow International Student Recruiter Advisors and provides supervision to volunteers and student staff on a number of projects and events. Work Performed Campus Recruitment Programming Develops and supports campus-based and virtual programs to encourage more prospective international students, their parents and counselors to visit the UBC campuses, and UBC’s Okanagan campus in particular. Examples may include but are not limited to customized campus tours, UBC sponsored trips for international student groups and/or counselors, recruitment competitions, etc. • Supports innovative, responsive and professional Campus Recruitment programs that meet the needs of prospective international students, their families, counsellors, Educational Agents/Third Party Recriutment Agencies and other visitors to the Okanagan campus. Campus Recruitment efforts physically take place on the Okanagan campus and as well as virtually to a global audience. • Coordinates the design and delivery of special purpose tours and Campus Recruitment programs for targeted groups of prospective international students and their families, international guidance counsellors, and others working with international students. • Under the direction of the Manager, works with the Student Recruitment and Advising (SRA) team in regards to the Okanagan Campus Tour program. In this capacity, works collaboratively with the Manager, Campus Tours (SRA), on campus tour scheduling, student hiring and training, and campus tour program development. • Assist the Manager in developing an annual budget for Campus Recruitment programming. Under the direction of the Manager, tracks and reconciles expenses associated with campus events and reports variances to the Manager. • Supports the planning, organizing and conducting of special events such as Applicant Information Sessions, International Peer Outreach or other types of yield tactics on campus or virtually, targeting newly-admitted international students. • Liaises closely with SRA on joint events where there is likely to be a critical mass of international students participating in the event. • Recruits, selects, trains and schedules a corps of dedicated student staff and volunteers to support Campus Recruitment activities that highlight the international student experience. Adheres to principles of student engagement and nurtures student leadership opportunities with volunteer or paid programs. • Collects and maintains data on the origin of on-campus event participants, tracking and assessing patterns of participation, designing and delivering other assessment tools to solicit feedback from event participants to determine levels of satisfaction and overall effectiveness of program in meeting recruitment goals; writes reports and makes recommendations for changes and improvements to the ISI UBCO leadership team. • Must be able to work evenings and weekends in execution of campus tours and campus recruitment programs as well as the training of student employees when needed. • Works closely with the Recruitment Marketing and Prospective Student Engagement team and Student Recruitment and Advising (domestic recruitment) to collaborate on the develop an innovative multi-media presentation for use in the campus tour programs. Works with ISI Okanagan team and ISI Vancouver On Campus Team to develop web-based virtual campus events for prospective students in the US or overseas, and other communication products to promote campus tours and campus recruitment activities. Performs recruiting and advising services by: • Provides international students with a preliminary evaluation of their admissibility to their choice of program and conducts follow-up as appropriate. • Participates in the planning and provision of transition support services for newly admitted international students, including providing students with registration support and advising on course selection, housing applications, and other matters pertaining to their transition to UBC Okanagan. Liaises with the Central Academic Advising Office, Global Engagement Office, and with the Student Experience Office in providing this transitional support. • Provides information on housing and other student services available to international students at UBC. • Prepares and delivers effective presentations to groups large and small, proficiently using multi-media materials and other collateral to support public presentations. • Plans and delivers effective group advising sessions in a variety of settings. Plans and delivers effective group advising sessions in a variety of settings, focusing on studying at UBC in particular but may also present more generally about studying in Canada. • Advises prospective international students, school counselors, and others on current academic program opportunities at the University, on admission requirements, prerequisite studies required for certain programs, English language proficiency requirements, international student tuition fees, and refers to dedicataed UBC staff who advise on Canadian study permit requirements. Provides information on housing and other student services available to international students at UBC. Advising takes place predominately on campus with individual students and their parents visiting the UBC campus. Advising also takes place through telephone, electronic mail and web-based correspondence with students, their families and counselors. Exercises cross-cultural sensitivity and intercultural skills when advising prospective students with different linguistic and cultural backgrounds. • Applies in-depth knowledge and understanding of complex requirements and admissions policies, as well as knowledge of foreign credentials, international documentation and different countries’ educational systems, in responding appropriately to inquiries. Provides students seeking admission to the University with preliminary advice on the likely admissibility or non-admissibility to their choice of program, based on the student’s current level of schooling and course work. Dealing with the latter requires tact, cultural sensitivity and discretion, and includes offering students who do not currently meet UBC admission criteria advice on what they can do to prepare themselves academically for future admission to the University. Conducts follow-up on prospective international students as appropriate. • Conducts a preliminary assessment of an applicants’ English language proficiency on the basis of the applicants’ background and advises applicants on all of the acceptable ways to demonstrate their English language proficiency for admission to UBC. Requires knowledge of international English language proficiency tests and the minimum test scores acceptable to UBC. • Participates in the planning and provision of pre-arrival, on-arrival and other transition support services for newly admitted international students, including housing applications, and other matters pertaining to their transition to UBC. Liaises with the faculties and with advisors within units of AVP Students in providing this transitional support. • Provides input and feedback to the Recruitment Marketing and Prospective Student Engagement (RMPSE) team in the development of promotional print and multimedia materials used for recruitment and advising purposes, and engages students in various social media platforms with direction from the RMPSE team. • Participates in interactive on-line sessions and other types of virtual meetings with prospective students, applicants and newly admitted students to encourage their interest in UBC. • May conduct visits to international secondary schools and colleges, to meet with counselors and advise prospective undergraduate students. May involve meeting with prospective visiting students or students intending to transfer to UBC from other post- secondary institutions. Conducts international recruiting and advising activities in a well-organized and professional manner. Exercises initiative, diplomacy, tact, resourcefulness and sound judgment when representing the University, particularly in settings that are distant from UBC. • Works proficiently with the Student Information System, the Client Relationship Management system and other data management systems to obtain information on the status of a student’s inquiry or application for advising purposes. • May participate in the hiring, training and supervision of student staff, clerical support staff, and of associate recruiter/advisors (entry level positions). May assist in the training of other new International Student Recruiter/Advisors who join the regional team. • Undertakes other recruitment, advising and program development activities as required, in keeping with the terms of the position. May represent the unit on cross-unit projects or on other University committees as assigned. • Adheres to UBC’s policies, particularly UBC’s Travel Policy, and policies on safeguarding security of data and electronic devices; adheres to Freedom of Information and Privacy policies with regard to student advising. Exercises sound judgment and follows departmental protocols for travel safety and communication with the home office when abroad, and stewards the University’s property and resources responsibly in carrying out recruitment and advising services when at home and on overseas assignments. Consequence of Error/Judgement This position is responsible for providing effective recruitment services and delivering accurate information about degree programs and admission to the University’s undergraduate faculties. The dissemination of inaccurate information, exercise of poor judgment, without due tact and sensitivity would result in the loss of confidence in UBC by the student, the student’s parents and school counselors and could jeopardize the school’s relationship with UBC. Poor performance in carrying out recruitment and advising services would damage the University’s reputation abroad and at home. Advising overseas students, counselors, and others incorrectly could have serious and costly consequences for the prospective student. Inability to plan and carry out costly activities in a well-organized and professional manner could result in lost opportunities and cost overruns. Poor performance would reflect negatively not only on the ISI, but on the University as a whole and would deter international students from choosing UBC thus jeopardizing the University’s ability to meet its international student enrolment objectives. Supervision Received Works independently without direct supervision but within established guidelines, in close consultation with the Manager, International Recruitment, UBC Okanagan. Works closely and cooperatively with the other recruiter/advisors assigned to the team, as well as with other staff in the ISI, SRA and Enrolment Services and within the University to meet the goals and objectives of the International Student Initiative. Position is subject to annual performance reviews. Supervision Given Participates in the hiring, training and supervision of student, clerical and event staff. May assist in the training of other new Associate International Student Recruiter/Advisors who join the team. Minimum Qualifications Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience, or equivalent combination of education and experiences. Knowledge of major secondary educational systems would be an asset, including provinces in Canada, British patterned, US, IB, and other systems. Lived international experience preferred. Experience in event planning preferred. Experience using UBC’s in-house Student Information System or experience using similar management information systems.
