Overview
The Maintenance Procurement Coordinator supports the day-to-day operations of the procurement team by handling administrative tasks, maintaining accurate data and documentation, and ensuring timely processing of purchase orders and supplier information. This role helps ensure that purchasing activities are efficient, compliant, and aligned with company policies.

Responsibilities:
Purchase Order (PO) Management
Create, update, and process purchase requisitions and purchase orders in the ERP/procurement system.
Ensure all POs contain correct pricing, quantities, delivery dates, and approvals.
Track order status and follow up with suppliers and internal stakeholders as needed.
Supplier Coordination & Administration
Maintain supplier records (contacts, contracts, certificates, banking details) and ensure data is accurate and up to date.
Assist with onboarding new suppliers and updating vendor master data.
Support communication with suppliers regarding quotes, clarifications, delivery schedules, and documentation.
Data Management & Reporting
Maintain accurate procurement files, records, and documentation (POs, contracts, NDAs, invoices, etc.).
Prepare regular reports on spending, open POs, delivery status, and other key procurement metrics.
Support the team with data collection for tenders, RFPs, RFQs and cost analyses.
Invoice & Issue Resolution
Work with Accounts Payable to resolve invoice/PO discrepancies (price, quantity, tax, etc.).
Investigate delivery issues, missing documents, or system errors and coordinate resolutions with suppliers and internal teams.
Compliance & Process Support
Ensure adherence to procurement policies, approval limits, and audit requirements.
Support implementation and continuous improvement of procurement processes and tools.
Assist in preparing documents and files for internal or external audits.
General Administrative Support
Organize procurement files, shared drives, and contract repositories.
Schedule meetings, take minutes, and follow up on action items for the procurement team.
Support special procurement projects and initiatives as required.
Qualifications:
Diploma or degree in Supply Chain Management, Business Administration, or related field.
1–2 years of purchasing experience, preferably in a manufacturing or maintenance environment.
Familiarity with MRO procurement and inventory systems.
Strong negotiation and communication skills.
Proficiency in ERP systems and MS Office.
Ability to analyze data and make cost-effective decisions.
Detail-oriented and organized.
Strong problem-solving and decision-making abilities.
Ability to work under pressure and meet deadlines.
