The Manager, Camp Operations oversees the logistics, planning, promotion, execution, and administration of
Whitecaps FC’s Camps portfolio. This role ensures camps deliver premium soccer experiences for players and
families while driving efficiency and growth across all markets. A strong administrator and planner with proven
experience in camps or youth recreational programming, the Manager plays a central role in ensuring excellence
at every stage of the camp experience.
Responsibilities:
The duties of this position include but are not limited to:
General Duties
Provide general administrative and operational support for department initiatives such as the
Whitecaps FC Academy Showcase, Academy Talent ID Camps, and other youth programming events.
Contribute to cross-departmental projects that align with the overall growth and success of Youth Programs.
Work collaboratively with internal departments (Marketing, Communications, Equipment, Finance, etc.) to align on planning and execution.
Collaborate with the Manager, Content & Marketing for Youth Programs to ensure successful promotion of sales initiatives and social media campaigns for all camps.
Finance & Administration
Support budget development and financial planning for the camps portfolio.
Track expenses, reconcile invoices, and oversee all camp-related financial administration.
Ensure compliance with financial policies and procedures in collaboration with the Finance team.
Staff Management
Support the hiring, onboarding, scheduling, and administration of Youth Development Coaches
working in camps.
Oversee payroll processes for camp staff, ensuring accuracy and compliance with finance
requirements.
Provide direction and support to sessional coaches, ensuring alignment with club values and
premium member service standards.
Camp Operations & Logistics
Lead all planning, scheduling, and execution of Whitecaps FC Camps across multiple markets.
Manage the registration system for all camps, ensuring accuracy of player data, rosters, and
reporting.
Provide registration lists, grouping lists, and skills challenge documentation prior to the start of
camps.
Oversee daily in-season administration of player rosters, registration updates, and
communications.
Support the training of all staff involved in camp delivery, with a specific focus on leading the
camp check-in/check-out process.
Book, manage, and track facilities for camps, including invoice reconciliation with facility providers.
Coordinate travel bookings for staff traveling to deliver camps across the national network.
Develop and refine processes, templates, and tools to maximize efficiency and consistency across
the camp portfolio.
Coordinate ordering and distribution of player apparel, uniforms, and giveaways in collaboration
with the Equipment & Apparel Coordinator.
Ensure all camps are delivered to the highest operational and technical standards, in alignment
with the Whitecaps FC Way.
Communications & Member Services
Lead all communications to players and parents before, during, and after camp delivery.
Ensure all correspondence is professional, accurate, and timely, reinforcing Whitecaps FC’s
commitment to premium member services.
Provide responsive and professional support to participants, families, and community partners.
Partnerships & Community Relations
Manage relationships with community clubs, partner organizations, and facility providers involved
in the camps portfolio.
Administer partnership agreements, ensuring all Whitecaps FC deliverables are met while
supporting partner needs.
Scholarship program lead: handle communication of available scholarships to partner clubs and
administer the scholarship process with recipients.
Growth & Program Development
Continuously assess and enhance the camps portfolio to maximize growth, reach, and member
experience.
Research best practices in soccer camp delivery and incorporate innovative methods into
programming.
Identify opportunities for innovation, improvement, and expansion of programming.
Monitor participant feedback and implement improvements to elevate the overall quality of camp
operations.
Qualifications:
Legal authorization to work in Canada
Post-secondary education in Sports Management, Business Administration, Event Management or a related field
At least 2-3 years of experience in event coordination, administrations and operations, preferably in a sports or youth programming, or a fast pace related field
Proficiency in Microsoft Office Suite and experience with CRM systems
Ability and flexibility to travel to various locations around lower mainland as required
