The Temerty Faculty of Medicine's Advancement Office connects a community of alumni, volunteers and donors to meaningful and transformative initiatives advancing health and health care. As the research and educational hub within Toronto's robust health sciences network, the University of Toronto's Temerty Faculty of Medicine is uniquely positioned for impact.
As Advancement Assistant, you will serve as the first point of contact for activities and enquiries for the Office of Advancement and help support operations for the entire team. This unique opportunity will include assisting with donor relations, such as conducting outreach and thank you calls to donors, maintaining accurate donor records, drafting meaningful correspondence, and providing operational support for financial and gift processing. You will utilize your excellent customer service skills to foster positive relationships with internal and external stakeholders while supporting our team and helping us achieve our goals and vision.
Your responsibilities will include:
- Acting as the first point of contact, including all reception duties, greeting guests and responding to phone and email enquiries within the defined scope of the role and redirecting as appropriate
- Coordinating meeting schedules, agendas, materials, action and follow-up items, and resolves scheduling conflicts
- Determining logistical details and activities for development activities, including intake of and processing of donation cheques and payments (wire transfers, Gift of Stock), mailing campaigns, conducting outreach calls, and drafting correspondences to donors
- Performing data management tasks including: data entry, collating and organizing data for reports, updating and maintaining database records, and verifying donor records arecoded correctly
- Performing financial responsibilities by processing accounts payable, expense reimbursements, reconciling purchasing card statements and procuring office supplies
- Arranging accommodations including; booking rooms, audio-visual, catering, couriers
Essential Qualifications:
- Advanced College Diploma in a related field, or an acceptable equivalent combination of education and experience
- Minimum two (2) years of relevant work experience, ideally in a university, not-for-profit or fundraising environment
- Demonstrated experience providing front line administrative support and customer service, including responding to inquiries from a wide variety of stakeholders
- Demonstrated experience processing accounts payable, expense reimbursements, and reconciling invoices and statements
- Experience coordinating meeting schedules, agendas, materials, action and follow up items, and resolving scheduling conflicts
- Demonstrated experience collating and organizing large data sets for reporting, as well as identifying and resolving data anomalies and discrepancies
- Demonstrated experience fostering positive relationships with internal and external stakeholders
- Proficiency with MS Office Suite (Word, Excel, Sharepoint) and FIS (financial information systems) and Arbor, or similar database management systems
- Professional demeanor with a strong customer service orientation and effective interpersonal skills
- Excellent oral and written communication skills
- Excellent organizational skills, time management and problem-solving skills with the ability to meet conflicting priorities and balance multiple projects
- Abilityto work independently, show initiative and exercise diplomacy and good judgment, and also the ability to work cooperatively
- Proven effectiveness in relating to all levels of faculty, staff, students and individuals external to the University
- Strong commitment to accuracy and attention to detail
Assets (Nonessential):
- Knowledge of the Temerty Faculty of Medicine and experience based in a University and/or hospital setting

USW Pay Band 07 -- $60,237. with an annual step progression to a maximum of $77,035. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
