The Student Services Administration in Student Experience and Support is currently seeking a Full-time Regular Coordinator.
The Student Conduct Office within Student and Enrolment Services is committed to providing student- centered programs and services that create a safe, inclusive, healthy and respectful campus culture, with a focus on student learning and development.
Reporting to the Manager, Student Conduct, the Coordinator is responsible for supporting both the Student Conduct Office as well as Residence Services in the effective management of student conduct concerns. This position will provide guidance and advice to community members with questions about the Student Conduct Office's services and supports, and will work closely with staff in other units including Campus Security, Student Wellness Services, and the Sexual and Gender-Based Violence Support Office. In addition to serving as a Hearing Officer for alleged violations under either the Student Non-Academic Misconduct Policy or the Residence Services Agreement and Community Standards during peak periods, this position will also provide coordination and administrative support to both staff teams with a particular focus on data and assessment related to student conduct administration.
This position is located at the University's Main Campus. This work is of varying complexity, with peak periods and short timelines for completion. This position works 35 hours a week, Monday to Friday, but on occasion, there may be the need to work outside of regular hours. This position is also eligible for remote work opportunities in accordance with the University's Hybrid Work Program.
Summary of Key Responsibilities (job functions include but are not limited to):
- Update Maxient configuration to maximize precision, accuracy, and relevance of all information collected in case management files for both the Student Conduct Office and Residence Services.
- Run regular reports of conduct-related data (including but not limited to number of reports, nature of concerns, resolution process used, findings of responsibility, types of sanctions issued, and outstanding deadlines), in addition to custom reports when requested.
- Attend regular staff meetings for both units to share data and identify issues or gaps.
- Work with the Manager, Student Conduct Office on the office's impact assessment strategy.
- Provide training on Maxient and case management protocols for new Residence Life Coordinators or Student Conduct Office staff.
- Meet with and advise complainants, respondents, and other students, staff or faculty who have questions or concerns related to non-academic misconduct.
- Supporting other staff in case management through gathering supplementary information, support with drafting letters and scheduling meetings, or coordinating informal resolution options.
- Manage cases during peak periods, including drafting and sending all necessary correspondence to involved parties (i.e., Interim Measures, Notice of Hearing, Decision Letters, and necessary follow-up).
- Serve as a Hearing Officer under either the Student Non-Academic Misconduct Procedures or the Residence conduct procedures, and adjudicate alleged policy violations (including deciding on appropriate sanctions).
- Applying best practices in conflict resolution and/or restorative practices when informal resolution processes should be used.
- Facilitate Student Conduct Office trainings on topics related to conflict management, bystander intervention and other topics within our office's mandate to promote student learning and a positive campus environment.
- Assist the Advisor, Student Conduct and Conflict Management in developing and updating workshop and website content to ensure accessibility, consistency, and effectiveness.
- Coordinate special projects throughout the year for both the Student Conduct Office and Residence Services that relate to emerging trends in conduct issues, assessment, or effective policy administration.
Qualifications / Requirements:
- Undergraduate degree required, and a degree in related discipline (law, policy, social work) preferred.
- Demonstrated experience in student conduct, case management, residence education, policy adjudication or discipline in a post-secondary education setting (or related environment).
- Experience working with students in an educational setting required.
- Strong and effective communication, both written and oral is required (facilitation experience an asset).
- Strong attention to detail and critical thinking skills required.
- Experience with electronic data collection as well as assessment and reporting required.
- Experience with electronic case management system such as Maxient an asset.
- Conflict management training an asset.
- Training in the fields of restorative practices or mediation an asset.
- Training related to mental health and/or intercultural competency an asset.
- Demonstrated ability to work effectively and independently with multiple departments and individuals in sensitive and complex situations.
- Ability to effectively advise/instruct/counsel others.
- Ability to effectively prioritize and successfully perform duties autonomously.
- Ability to work independently and under pressure to meet strict and multiple timelines.
- Thorough knowledge of working within the confines of institutional policies, procedures and requirements in addition to external regulations such as the Freedom of Information and Protection of Privacy Act (FOIP Act).
