The Research Analyst 3 will join the Toronto Water Procurement Team to support the delivery of various programs and projects. The ideal candidate is a skilled professional with a high degree of training, interest, and initiative. Will perform various administrative tasks involving the preparation of correspondence, research, reconciliation of data and assistance with all aspects related to the administration of programs. Also prepares manuals, reports, statistical letters, memoranda, minutes and other documents in accordance with City standards. Applies and checks layout and formatting guidelines; proofreads own and other's material.
Major Responsibilities:
- Provides economic and business information in response to both internal and external requests.
- Develops and maintains data sets including, but not limited to business, economic activity and real estate indicators.
- Inputs reports, documents, proposals and correspondence as required by the Unit.
- Develops, updates, and maintains directories, statistics, records and communications used by all levels in the division including management staff.
- Compiles information packages and other direct mail activities in support of Unit's activities.
- Supports senior staff with special events and activities, coordinating seminars and meetings and attending functions as required to provide on-site assistance.
- Establishes and maintains filing system for Unit.
- Answers telephone and written inquiries.
- Provides cover off on telephones for Division Staff as required.
- Develops and maintains databases of programs, services, facilities, and political representation.
- Creates detailed spreadsheets, maps, and documents in support of the division and its programs.
- Reports on demographics and related statistics on subjects such as children in the city.
- Develops and designs and updates web pages.
- Maintains the division's external web site which includes designing and developing and updating web pages.
- Responds to business related requests for information both from internal and external sources.
- Compiles and analyzes surveys used by the division for Performance Measures purposes and for other internal monitoring procedures.
- Maintains a filing system of business related statistics.
- Provides cover off for Division Staff as required and other duties (i.e. monitors divisional email accounts and responds to inquiries).
Key Qualifications:
- Considerable experience in organizational, analytical, problem solving and multi-tasking skills with the ability to set priorities in a fast-paced environment to meet tight, sometimes conflicting, deadlines.
- Considerable experience creating and formatting documents, reports, charts, spreadsheets and presentations.
- Considerable experience in clerical/administrative experience performing tasks such as records management, reconciling financial records, preparing correspondence and handling customer inquiries in person, by telephone and in writing.
Must also have:
- Ability to exercise independent judgement and discretion in dealing with confidential operational matters.
- Understanding of municipal operations, council proceedings, enforcement, legislation, divisional and political issues as they relate to Toronto Water.
- Work effectively with employees in team-oriented environment.
- Familiarity with programs and services in the Toronto Water Division.
