The Office of Continuing Medical Education in the Cumming School of Medicine invites applications for a Communications & Events Coordinator. This Full-time Fixed Term position is for approximately 10 months (based on length of grant funding), with the possibility of extension.
The Continuing Medical Education & Professional Development (CME & PD) Office's mission is to deliver high-impact educational and assessment activities and resources for the lifelong learning of healthcare providers that will contribute to improving health outcomes for Albertans and sustain the health care professional workforce. Activities include a broad range of evidence-based learning opportunities to physicians, other health professionals, and the public in a variety of formats, from face-to-face to online and blended learning. As a key member of the CME & PD team, the role of the Communications & Events Coordinator contributes to the ongoing success of the Office of CME & PD's course offerings by: Delivering effective communication, marketing, technical, and logistical execution of CME/CPD programs.
Summary of Key Responsibilities (job functions include but are not limited to):
Communications & Marketing:
- Develop, implement, and maintain communication and marketing strategies for CME programs in collaboration with the CME team
- Manage and update the CME&PD website using Drupal 8 and WordPress, ensuring content accuracy and alignment with branding guidelines
- Establish approaches to develop and enact key messages and promotional support (i.e., sponsorship) for pan-office and individual course/programs
- Lead the development, management, and promotion of the CME brand
- Provide communication solutions and approaches for complex, multidisciplinary teams
- Develop and maintain effective relationships within the University, Faculty, internal clinical/administrative units, and external healthcare organizations
- Create print and digital collateral in alignment with university brand standards
- Research market trends, identify opportunities, and generate promotional strategies aligned with the mission and vision of CME
- Help build and maintain eMarketing campaigns using CRM Marketo
Event Coordination:
- Schedule meetings with a range of internal and external stakeholders including planning committee members, CME&PD staff during course planning and delivery stages
- Plan and execute CME/CPD events, ensuring smooth logistics, scheduling, and participant engagement
- Coordinate event marketing and communication with attendees, speakers, and planning committee members
- Liaise with vendors, venues, and service providers for event logistics and setup
Technical Support for Virtual Learning & Webinars:
- Provide Zoom/Microsoft Teams technical support for CME & PD virtual courses and webinars, including troubleshooting connectivity, audio/video, and platform issues
- Coordinate pre-course setup, including assigning streaming channels, configuring virtual meeting settings, and preparing interactive tools (polling, breakout rooms, etc.)
- Conduct dry runs with faculty and staff to ensure seamless course delivery and familiarity with platform features
- Support live course sessions by hosting, monitoring chat, setting up breakout groups, managing slide presentations, and ensuring smooth technical operation
- Handle post-course tasks such as validating attendee lists, distributing session recordings, and documenting technical issues for future improvements
Qualifications / Requirements:
- Bachelor's degree in public relations, Communications, Journalism, Marketing/Commerce, or a related field, or an equivalent combination of education and experience
- A minimum of 3 years of recent related experience. A combination of education and work experience may be considered
- Passion for writing compelling marketing copy and engaging content for diverse audiences
- Experience in media relations, internal/employee communication, external communications, special events planning, and virtual learning technologies
- Strong technical proficiency in Zoom, Microsoft Teams, and online engagement tools such as polling software and Qualtrics
- Excellent oral and written communication skills to draft clear, concise correspondence and respond to inquiries with tact, confidentiality, and discretion
- Experience with website content management (Drupal 8 and WordPress) an asset
- Experience with Marketing CRMs and software (e.g. Marketo) considered an asset
- Experience in the healthcare field and university setting considered an asset
- Excellent interpersonal skills displaying professionalism, tact, and diplomacy to handle complex, multi-stakeholder projects, including university departments and faculty members, external organizers, and health professional learners
- Proven track record of working effectively with internal and external contacts at all levels
- Strong organizational and time management skills to prioritize and meet deadlines
- Proven ability to manage multiple priorities, work independently, and meet deadlines
- High attention to detail and ability to troubleshoot technical and event-related challenges efficiently
