Summary/Objective
The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, and inventory control. Energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.
Essential Functions/ Responsibilities
- Point person for facility maintenance, mailings, shipping, office supplies, office equipment, and errands
- Organize and help schedule client and internal onsite meetings; assist with offsites as needed
- Responsible for managing office services by ensuring office operations and procedures are organized, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
- Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, office layouts, site reorganization, and office systems
- Manage relationships with vendors and service providers as needed
- Monitor and maintain office supplies inventory
- Handle internal employee inquiries and complaints
- Maintain a safe and secure working environment
- Partner with HR to maintain office policies as necessary
- Coordinate with IT department on all office equipment
- Perform review and analysis of special projects and keep management properly informed
- Responsible for ensuring office financial objectives by planning the expenditures, analyzing variances and carrying out necessary corrections that may arise
- Participate actively in the planning and execution of company events
- Required to work up to 5 days per week onsite
Supervisory Responsibility
This position does not have any supervisory responsibility or direct reports.
Education and Experience
- Proven office management, administrative or assistant experience
- Knowledge of office management responsibilities, systems and procedures
- Hands on experience with office machines (e.g. fax machines and printers)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficiency in MS Office required
- Knowledge of clerical practices and procedures
- Knowledge of business and management principles
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, photocopiers and smartphones. It's an onsite role.
Physical Demands
The employee is occasionally required to stand; walk; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and stoop, kneel, crouch or crawl. The employee must regularly lift and/or move up to 35 pounds and occasionally lift/or move up to 50 pounds.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday during normal business hours. Occasional evening and weekend work may be required as job duties demand.
Travel
Limited travel of less than 5% may be required.
