About The Opportunity This is an exciting opportunity to join a well-established Intellectual Property team in assisting in patent prosecution from beginning to end. This role is based in downtown Toronto, requiring the successful candidate to work 4 days a week in the office, and 1 day from home.
About The Position
- Preparing client correspondence, maintaining contacts and databases, and coordinating meetings and events.
- Managing incoming communications, scheduling, and calendar maintenance.
- Assisting with billing processes including time entry, WIP monitoring, and invoice preparation.
- Supporting file opening, conflict checks, and document organization.
- Coordinating with internal teams on proposals, pitches, and marketing efforts.
- Providing matter/project management support including budgeting and milestone tracking.
- Backing up colleagues when needed to ensure consistent support for legal professionals.
The Requirements
- Legal Assistant diploma or Office Administration post-secondary education required.
- Minimum 5 years of related experience, preferably in a legal or professional services environment.
- Experience in Patent Prosecution is essential.
- Familiarity with IP management systems such as Improtech is an asset.
- Strong knowledge of legal terminology, documentation, and procedures.
- Proficiency in Microsoft Office Suite.
- Exceptional organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities with efficiency and precision.
- Team-oriented, proactive, and comfortable working in a high-pressure environment.
- Willingness to work occasional overtime as needed.
