Your Impact:
In this role, you will serve as a trusted partner to senior leadership, ensuring smooth day-to-day operations through expert calendar management, travel coordination, communication handling, and project support. Your professionalism, adaptability, and dedication to excellence will contribute directly to the continued success and reputation of Raffi Jewellers.
Core Responsibilities:
- Organize and prioritize the CEO's calendar
- Schedule meetings, appointments, and travel
- Screen calls and emails for the CEO
- Draft and proofread internal and external communications
- Represent the CEO in communications when appropriate
- Prepare agendas and briefing materials
- Take meeting minutes and track action items
- Coordinate logistics for board meetings or high-level discussions
- Book domestic and international travel, and manage itineraries, expenses, and accommodations
- Occasionally travel with the CEO as needed to assist on-site
- Help drive strategic projects by tracking deadlines and key initiatives and following up with teams
- Coordinate cross-departmental efforts at the executive level
- Handle highly sensitive information with absolute discretion
- Manage confidential files, contracts, and legal documentation
- Assist in drafting or reviewing legal letters and contracts
- Act as a bridge between the CEO and internal/external stakeholders
- Support executive team communications and culture-building initiatives
- Occasionally assist with HR, finance, or operations-related matters
- Other duties as assigned
Qualifications:
- Bachelor's degree preferred, though relevant experience may be considered
- Minimum 2 years' experience supporting a CEO or C-level executive
- Strong written and verbal communication skills
- Proficient in drafting professional correspondence, legal letters, and reviewing contracts
- Ability to serve as the right hand to the CEO with a high level of trust and autonomy
- Must be polished and professional, yet down to earth
- Dedicated, hardworking, and reliable
- Available to work Saturdays, with Sundays and Tuesdays off.
- Able to travel with CEO as required
- Retail industry knowledge is an asset
- Bilingualism (French/English or other) is a strong asset
