The Opportunity

The Executive Assistant will be the go-to support for four members of the executive leadership team, ensuring both business and personal tasks are managed with discretion, precision, and professionalism.
Key Responsibilities:
- Manage calendars, schedule meetings, and coordinate logistics for events and appointments.
- Prepare meeting agendas, minutes, and follow up on action items and deliverables.
- Draft, edit, and proofread correspondence, reports, and presentations.
- Screen and respond to phone calls, emails, and visitors on behalf of the executive team.
- Oversee and manage planning and executing company events (e.g., Christmas party, AGM, golf tournament, trades party).
- Maintain organized legal and office filing systems (both digital and hard copy).
- Support with banking documentation and opening of new accounts.
- Reconcile executive expenses and manage expense reporting via SAP Concur.
- Handle a mix of business and personal administrative tasks with utmost confidentiality.
- Jump in to support other business areas and special projects as needed.
Qualifications:
- Minimum 5 years of experience as an Executive Assistant supporting senior leadership.
- Previous experience in real estate, construction, or property management is preferred but not a necessity.
- Strong written and verbal communication skills---must be articulate and well-spoken.
- Public speaking experience an asset!
- Advanced Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience with SAP Concur for expense claim management an asset.
- Previous special event coordination/management experience is a must.
- Detail-oriented, organized, and able to manage multiple priorities with professionalism
- High degree of discretion, judgment, and initiative.
