Responsibilities:
- Manage calendars, emails, and incoming calls
- Open and close client files
- Assist with scheduling and coordinating files in line with notarial timelines
- Support administrative processes including annual registration and compiling info for mandates and wills
- Ensure diligent file follow-up and professional correspondence
- Prepare all relevant documents for signing appointments (e.g., service contracts, endorsements, indexes, certified copies)
- Maintain both digital and physical filing systems
- Provide backup assistance to other team members as needed
