Pay Rate: $30 - $35 per hour

Position Summary:
We are seeking a highly organized and detail-oriented Executive Assistant to support one of our dedicated public sector clients in Thunder Bay. This role requires strong interpersonal skills and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will act as a pivotal link between the executive team and internal/external stakeholders, ensuring effective communication and efficient operations.
Key Responsibilities:
- Provide comprehensive administrative support, ensuring that important information is prioritized and communicated effectively.
- Act as the main point of contact for internal and external stakeholders, managing relationships and communication flows.
- Organize meetings, prepare agendas, and ensure executives are well-prepared with relevant materials.
- Maintain an organized calendar, schedule of appointments, and travel arrangements while managing competing demands.
- Assist in project management activities, conducting research, and summarizing findings for executive reviews.
- Handle sensitive correspondence and documentation with the utmost confidentiality.
- Contribute to operational tasks, including budget administration and office management.
- Support senior management teams in coordinating meetings and events, both onsite and virtually.
- Produce clear, concise written communications for various stakeholders.
Qualifications:
- College diploma or university degree, or an equivalent combination of education and experience.
- 5 to 10 years of experience supporting high-level executives in a public sector or non-profit environment.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and social media platforms.
- Strong knowledge of administrative processes within a government or public service context.
- Excellent organizational skills, with a keen eye for detail and the ability to manage multiple tasks simultaneously.
- High-level interpersonal skills, with the capacity to build effective relationships with diverse stakeholders.
- Exceptional written and verbal communication skills are required.
- Proven ability to handle confidential information with discretion and professionalism.
- A proactive approach to problem-solving, with strong decision-making capabilities.
- Ability to work independently as well as collaboratively within a team.
