Our client is an investment management firm. They seek an Office Administrator to join their Montreal, Quebec office.
Responsibilities
- Welcome visitors and coordinate in-person and virtual meetings
- Arrange daily food deliveries with caterers and suppliers
- Provide support to internal teams and prepare for onsite meetings
- Produce high-quality emails and messages across the organization
- Maintain the office's environment and liaise with cleaners and building management
- Manage the office stationery, business cards, and company-branded equipment
- Ensure meeting rooms are tidy, well-stocked, and ready to use
- Oversee inbound/outbound mail and distribute to employees
- Use Workday to submit office expenses and review expense reports
- Work with our Technical Service Desk team to coordinate desk moves
Requirements
- Bachelor's degree
- 3+ years of administrative experience
- Previous experience in the finance industry is preferred
- Experience using an issue tracking system
- Skilled with Workday for expensing is a bonus
- Prior use of floorplan management software is a bonus
- Confident learning using software and internal platforms
- Skilled in MS Office Suite (Outlook and Excel)
