LaPrairie Group of Companies is seeking a Senior Administrator to join its team in downtown Calgary, Alberta.
The Senior Administrator will support various operational divisions across North America by performing administrative duties, facilitating executive assistance, office management, and reception tasks.
This role involves front-facing reception duties and requires a candidate who is experienced, capable of managing multiple tasks independently, and comfortable working in a dynamic environment.
Job Responsibilities
General Administration Duties
- Provide administrative support to the executive team and management.
- Collaborate with team members and departments on projects.
- Perform accounting coding tasks and data entry.
- Maintain administrative procedures and manuals.
- Ensure confidentiality in all interactions.
- Review and edit documentation for formatting, content, grammar, and spelling.
- Draft, format, and edit company communications such as memos and letters.
- Order business cards and promotional materials.
- Assist in planning and executing company events.
Office Management / Reception Duties
- Manage incoming calls and inquiries, redirect as needed, and take messages.
- Maintain cleanliness and orderliness of the office.
- Coordinate shipments and order office supplies.
- Liaise with building management for maintenance and repairs.
- Book meetings and ensure necessary arrangements are in place.
- Coordinate office safety programs and online training.
Requirements
- 3-5 years of experience in administration or communications.
- Excellent writing skills with proper spelling, grammar, and punctuation.
- Strong time management skills and ability to work independently.
- Proficiency in Microsoft Office Suite.
- Sound judgment, reasoning, and discretion.
- Post-secondary degree or diploma in Communications, Business, or related field.
This is an in-office position; remote work is not available at this time.
