About the workplace
This is a permanent, full-time role that will enjoy hybrid working arrangements which can be fulfilled primarily from the Vancity head office location and your Lower Mainland based home office. This role will require you to work in-office at least once a week.
As a Talent Acquisition Coordinator, you will partner with Talent Acquisition team to support our hiring managers recruitment needs. You will proactively anticipate, plan and manage all administrative requirements that deliver the complete recruitment cycle and support hiring managers and candidates through the recruitment journey. You are the subject matter expert with our recruitment systems and collaborate with the team to proactively understand existing and future hiring needs, to deliver the right talent at the right time.
A typical day would involve:
- Partnering with the Talent Acquisition Specialists to support all administrative functions of the recruitment cycle, including job postings, offer letters, background checks and new hire paperwork.
- Being the first point of contact for leaders and maintains the hiring requests ticket portal to ensure all accurate and relevant information is collected to fulfill hiring requests.
- Being a partner to the FP\&A, People Services and HR Consultant teams for accurate and smooth transition of paperwork for new hires and internal moves.
- Developing and maintaining comprehensive knowledge of recruitment, employment, collective agreements, HRSC, compensation, benefits, pay administration, and other related organizational policies, practices, procedures, and/or regulations.
- Managing and educating others on how to effectively use the Applicant Tracking System and HRIS system.
- Managing centralized candidate, recruitment documentation.
- Keeping all recruitment related documentation including policies, procedures, templates and best practices training materials up to date and accurate for recruitment team.
- Proactively looking for ways to support all teams to plan for recruitment needs, including business leaders, workforce planning teams and HR Consultants.
- Leading high volume administrative support for large recruitment projects, to ensure timely hiring.
- Producing and updating marketable job postings to attract the right talent for the roles.
- Creating exceptional internal and external candidate experience and support candidates through the recruitment process.
- Proactively anticipates problems and concerns, and provide well thought-out solutions and recommendations, independently or collaboratively as required.
- Appropriately escalating concerns to the Manager, Talent Acquisition as required.
- Provides recommendations to optimize tools, systems to enable the efficiency and effectiveness of talent acquisition.
- Resolves problems and provides direction to managers on recruitment related matters concerning internal and external candidates, including recruitment administrative steps and overall interpretation of related policies \& procedures
- Completing accurate and timely delivery of metrics reporting when required by the business and E\&P leaders.
You have:
- Three to five years of recent work experience in an in-house talent acquisition and/or HR administrative role.
- Diploma or Bachelor's degree in business, marketing or human resources.
- Strong administrative and customer service skills.
- Proven ability to manage multiple high-volume, high-profile administrative projects at the same time.
- Proven ability to create relationships to support team members and leaders about candidates.
- Excellent organizational skills and ability to manage competing priorities.
- Strong written and accuracy skills which include effective communication skills.
- Strong proficiency with recruitment, HR and Windows systems
- Positive self-awareness and openness to learn.
- Ability to thrive in a collaborative environment

The budgeted salary for this role is around $63,540 annually. Base pay offered may vary depending on factors such as relevant qualifications, skills, previous experience, and internal equity. As part of our total rewards package, employees may also be eligible for our annual incentive program, subject to program eligibility requirements.
