As a Legal Assistant (Real Property and Planning / Commercial Real Estate), you will be:
- Preparing, editing, formatting, printing, scanning, and revising correspondence, memoranda, large transaction documents, reports, forms, labels, and other printed material through dictation, copy typing, or other instructions, in accordance with the requirements set by the practice group.
- Coordinating and dispersing tasks to resource groups such as Document Specialists, Administrative Clerks, Billing Assistants, ensuring timely completion.
- Proofreading documents for formatting, spelling, grammar, and clarity.
File and Time Management
- Managing files: opening, maintaining, and organizing paper/electronic files for easy reference.
- Collaborating with Records Management and Administrative Clerks to create and maintain client files.
- Updating calendars for lawyers, including meetings, appointments, and deadlines.
Lawyer / Client Support
- Coordinating lawyer travel arrangements, preparing itineraries and expense reports.
- Updating client contact information.
- Scheduling client meetings, booking rooms, and arranging catering or A/V equipment.
Mail, Fax, and Phone Reception Functions
- Handling incoming/outgoing mail and faxes, arranging courier services.
- Screening and directing calls, responding to inquiries, taking messages.
Financial and Administrative Functions
- Coordinating new client and matter openings (KYC).
- Collaborating with various functional teams.
- Providing backup support and working proactively within the team.
Other
- Participating in education opportunities to maintain and update skills.
- Performing additional duties as assigned.
Ideal Candidate Qualifications:
- Legal Assistant diploma or related certification.
- Minimum 3 years' experience, preferably in a professional services environment.
- Knowledge of legal terminology.
- Strong attention to detail, word processing, proofreading, and editing skills.
- Ability to work quickly and accurately under pressure.
- Excellent organizational and multitasking skills.
- Discretion and confidentiality.
- Flexibility to work occasional overtime.
