What you’ll do
Reporting to the Senior Vice President, Commercialization, supporting the Sales team and working as part of a cross-functional team, the Executive Assistant and Project Manager – Commercialization will provide unparallelled administrative support to the Senior Vice President, Commercialization and the Sales Team. The Executive Assistant and Project Manager – Commercialization is exceptionally adept with technology and is always one step ahead by consistently anticipating and pre-emptively acting on needs.
This includes:
Providing exceptional administrative support to the Senior Vice President, Commercialization and the Sales team
Managing an active calendar of appointments and projects
Creating agendas, distribute required documentation, take notes, and create action items for meetings
Support executive communications, including drafting letters, emails, memos, internal and external communications, PowerPoint presentations, other materials, collecting and analyzing data, and proofreading all work to ensure accuracy and brand conformity
Develop high-impact, branded PowerPoint presentations that effectively communicate key messages and engage stakeholders
Create and maintain clear, informative tables and graphs in Excel to present data effectively
Analyze data trends and insights through visual representations, ensuring clarity and usability for decision-making
Interpret data sets using Excel, transforming data into actionable insights
Collaborate with team members to ensure consistency in branding and presentation style
Coordinate logistics for meetings and events, including venue booking, catering, travel, and materials preparation
Act as a key point of contact for external relations
Provide technical assistance including, but not limited to making the setup and execution of conference calls and presentations; downloading reading materials onto appropriate technology prior to executive travel; suggest improvements, and implement changes where appropriate
Working onsite when required and providing day to day support to the Orpyx Sales team and any related subsidiaries teams
Maintain the commercial team file structure on SharePoint and other platforms
Liaising with the sales team on behalf of the executives
Coordinating materials for strategic commercialization processes
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion
Supports the SVP Commercial (and commercial team, as required) with expense reconciliation
Maintain CRM (customer relationship management) platform data on behalf of the commercial team
Build custom properties to track and organize sales data
Train the sales team to ensure the CRM platform captures all relevant information about key contacts and companies
Create and pull custom reports quickly and on a regular cadence
Assist in tracking and analyzing sales targets, campaign performance metrics and prepare reports for management
Maintain a high level of accuracy and attention to detail in all deliverables, ensuring they meet the standards expected at the executive level
Review commercial contracts, identify whether changes are required, and distribute for signature in accordance with signing authorities
Maintain a clean, and safe working environment
Perform duties in a manner that is consistent with and committed to upholding the requirements of the quality management system
Develop a working understanding of the company’s processes outside of the commercial sphere, and serve as a knowledge resource for the sales team
Additionally, due to the ever-changing and sometimes chaotic environment of an early-stage high-tech company, the Executive Assistant and Project Manager – Commercialization may assume additional responsibilities, as required.
What you’ll bring
5+ years administrative experience at an executive level or supporting a sales team in a fast-paced environment
Strong and reliable technical skills with Microsoft 365 specifically PowerPoint and Excel are a must
Proven experience in creating professional, branded PowerPoint presentations
Advanced proficiency in Microsoft Excel, including data analysis, complex formulas, pivot tables, and creating graphs
Strong analytical skills with the ability to visualize data effectively
Ability to work independently and manage multiple projects simultaneously
Education in a field related to office administration will be considered an asset
Experience working in or supporting a Sales team will be considered an asset
Strong experience with CRM and is an asset, HubSpot experience is strongly preferred
A willingness to take initiative and self-teach new skills
Proven organization and time management skills with the ability to effectively manage time and prioritize tasks in a diverse environment with competing deadlines
Outstanding interpersonal skills to effectively communicate with colleagues, partners, and stakeholders
Impeccable attention to detail and accuracy
Results-oriented with a sense of urgency work with staff and stakeholders, as required, to exude a “can do” attitude
Demonstrated ability to maintain confidentiality and exercise tact and discretion in dealing with sensitive and confidential matters
The details
Employment status: Full time
Schedule: 40 hours per week from Monday to Friday. The daily schedule is based on operational priorities and will change periodically, depending on operational needs.
Work location: This position is offered as a hybrid role, with our office at Unit 205, 1240 20 Ave SE, Calgary, AB, T2G 1M8. Please note that the hybrid work model may require specific in-office days or times.
