We have an opportunity for a Receptionist/Front Office Assistant role to join our team. It is a permanent part-time hourly position.
As a Receptionist / Front Office Assistant, you will have the opportunity to work with a diverse and dynamic group of individuals. This role will enhance your communication, organizational, and interpersonal skills while providing valuable experience in a fast-paced and collaborative office environment.
In this role, you will:
· Greet and welcome visitors as soon as they arrive at the office, make good records of visitors and direct visitors to the appropriate person and office
· Provide basic and accurate information about the Company in-person and via phone/email
· Transfer calls, distribute correspondence, take and direct messages in a timely manner
· Prepare, coordinate, and administer all shipping and receiving, including preparing customs documents as needed
· Ensure the reception desk is monitored at all times, the reception area is tidy and presentable, with all necessary stationery and material
· Maintain office security by following safety procedures and controlling access to the building via the reception desk, provide new employees badges
· Act as the main point of contact for external vendors, including building management and food vendors, to schedule and coordinate office repairs and maintenance as needed
· Share and explore any opportunities for improving the workplace and front desk experience for employees and visitors alike.
· Coordinate the food program; this includes ordering snacks, beverages, coffee, dairy/non-dairy/fresh fruit, etc. and tracking budgets
· Order and maintain the office, first aid, and kitchen supplies
· Ensure the overall office environment is in order, including cleanliness and organization of meeting rooms and common areas
· Assist with scheduling and coordinate meetings as requested, including catering needs and room set-up
· Preparing letters, presentations and reports as needed
· Assist with travel arrangements for visitors, including flights, hotels reservation and transportation
· Prepare expense reports for executive and director level leadership
· Support P&C/Marketing with events and initiatives for both onsite and remote employees; assist with onboarding of new employees in the office
· Perform other clerical receptionist and administrative duties
You are a great fit if you have:
· At least 1–3 years of experience in a receptionist, administrative, or front office support role
· Excellent verbal and written communication skills, with a professional and courteous manner
· Strong organizational and multitasking abilities; able to prioritize in a fast-paced environment
· Proficient with office equipment, including phone systems, printers, and scanners
· Strong interpersonal skills; able to interact effectively with diverse teams, visitors, and vendors
· Friendly, approachable, and customer-focused with a professional demeanor
· Able to handle unexpected situations with discretion and maintain professionalism
· Trustworthy and respectful of confidentiality, especially when supporting senior staff and guests
· Reliable and punctual; consistently present at the reception desk during business hours
· Capable of lifting or moving light office supplies as needed
Bonus points if you:
· Have experience working in a corporate or fast-paced professional environment
· Have proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
· Have familiarity with booking and expense systems (e.g., Concur or similar) is an advantage
· Have a High school diploma or equivalent (post-secondary education in Office Administration or related field is an asset)

This position is based in our Richmond, BC office and requires to be on-premises full-time, five (5) days a week. The regular schedule is 8:00 AM to 12:00 PM, Monday to Friday, totaling 20 to 25 hours per week. Additional hours may be required on Tuesdays or Thursdays, depending on business needs.
