Join our dynamic team as an Office Coordinator at Mercadien, a highly respected professional services firm. We are seeking a proactive individual with excellent organizational skills and the ability to manage multiple tasks effectively. The Office Coordinator plays a pivotal role in ensuring the smooth operation of office functions within our firm, and involves a blend of administrative duties, as well as coordination with various departments. Primary responsibilities will include, but are not limited to:
Mail & Correspondence Management
Posts certified mail and regular mail and places FedEx orders
Picks up the mail from the post office and distributes it to the firm
Receives, sorts and prepares tax authority correspondence – including finalizing certified cover letters, creation of certified receipts and remittance copies, scanning to the appropriate contact, and assembly for delivery
Inventory & Supply Management
Inventories and orders office and kitchen supplies on a weekly basis.
Picks up office supplies as needed
Reception & Front Desk Duties
Covers the receptionist at the front desk for lunch and one day a week all day (Fridays)
Event Planning & HR Coordination
Works closely with HR on event planning
Assists with onboarding and offboarding associates
Document Handling & Proofreading
Proofreads various reports and financial statements for the Compliance, Government and Non-Profit groups as needed
Binds documents as needed
Miscellaneous Support
Conducts bank runs
Orders food and sets up for meetings as needed
Miscellaneous support to all teams
Completes ad hoc projects as needed
Requirements
High School Diploma
Must possess proficient computer skills, knowledge of Microsoft Office programs (Word, Excel, Outlook, Teams)
Must have superior customer service and phone etiquette skills
Must be able to communicate clearly both verbally and in written format. A strong command of the English Language and grammar is necessary
Must be available to work between 8:00am and 5:00pm and additional hours as needed
This in an in-office position Monday – Friday during core business hours
May be required to work some Saturdays during busy season
Must be able to lift up to 25lbs comfortably
