Flynn Group of Companies is currently looking for an Branch/Purchasing Administrator to support our Vancouver Branch located in Surrey, BC (Office Location - 19175 - 22nd Avenue, Surrey BC V3Z 3S6), reporting to the Accounting Manager.

A Day In The Life
Opening and/or closing branch on a daily basis
Keeping reception area safe, clean and organized
Greeting visitors, ensuring sign-in procedures are followed, and notifying office staff of their arrival
Coordinating booking of all boardrooms for meetings/training and coordinating lunch orders or catering
Assisting the IT department with computer and telephone hardware setups for new hires
Ordering and organizing office supplies, printer supplies, company forms/stationary and business cards
Ordering coffee/breakroom supplies and keeping them organized, coordinating with coffee service company
Organizing incoming/outgoing mail and distributing accordingly as well as company faxes via email
Coordinating incoming/ outgoing courier deliveries and distributing accordingly
Managing and updating employee directories and branch phone lists
Handling all other miscellaneous enquires and directing them to the appropriate staff and/or manager
Other administrative duties as required
Issuing purchase orders as requested by project management Team
Processing vendor and subcontract invoices based on the POs issued, matching quoted pricing, taxes and quantities received from POs to invoices.
Generating WorkSafe BC clearance letters and submitting as required for subcontractors
Obtaining certificates of insurance and submitting as required for subcontractors
Completing/closing open purchase orders when fulfilled
Managing missing PO queue for the branch
Other accounts payable duties as required

What We Are Seeking
Minimum 2 year of previous administration experience
Strong customer service and communication skills

Excellent computer skills in the Microsoft office package; Word, Excel, Outlook & Teams
