Position Summary
The incumbent will be responsible for providing a wide range of administrative support to Licensed Insolvency Trustees, managers, and Partner, as well as other members of the department in a fast paced, pressurized, interesting and diverse business environment. Although no bankruptcy or specific legal experience is required (training will be provided) it would be a definite asset.
Principal Duties and Responsibilities:
Providing general administrative assistance and support including drafting, proofing, editing, and finalizing general and legal documents.
Photocopying, faxing, screening, and drafting routine correspondence, memoranda, and reports.
Answering telephones, taking messages, and redirecting calls to appropriate individuals and completing follow-ups on behalf of the team.
Preparation of conflict checks and engagement letters.
Organization of numerous, simultaneous, files and projects.
Obtaining various public record searches through on-line databases.
Maintaining the integrity and accuracy of information entered into relevant databases (Ascend, D365 etc.) and computer programs in a timely manner.
Maintaining electronic and paper files and up-to-date filing systems.
Coordinating and scheduling appointments and meetings while ensuring meeting room is set up with required documents.
Collaborate effectively with a variety of external partners, including lawyers, bankers, appraisers, auctioneers, property managers, insurance brokers, the CRA, and other service providers.
Sending notices to creditors and e-filings documents with Office of Superintendent of Bankruptcy.
Meeting with clients to obtain necessary documents and payments.
Back-up banking administration, including banking deposits, cheque printing and bank reconciliations
Completing expense reports.
Problem solving with other team members to continuously improve workflows and departmental effectiveness.
Work collaboratively with other team members and leadership.
Qualifications:
Advanced computer skills in Microsoft Word, Excel, Zoom, MS Teams and Adobe PDF.
Knowledge of legal and accounting terminology and procedures related to filing court documents (i.e. affidavits) an asset.
Well organized, detail-oriented, and self-motivated with strong prioritizing and follow-up skills.
Strong ability to anticipate needs and requirements of the team.
Strong interpersonal skills to liaise with creditors, lawyers, government officials, other various stakeholders, as well as the insolvency team.
Excellent verbal and written communication skills.
Ability to work independently and as part of a team with input from many stakeholders.
Ability to thrive in a deadline-driven environment.
Strong level of professionalism and personal integrity.
Availability to work flexible hours and occasional overtime.
Education and/or Experience:
College level Diploma in relevant field or Undergraduate Degree (Administrative Studies, Paralegal, Accounting, Business etc.).
3 - 5 years of applicable work experience.
Previous bookkeeping experience an asset.
