As a key member of the Provincial Resource Centre (PRC) – Organ, the Coordinator will provide coordination, operational and administrative support to facilitate the seamless functioning of 24/7 services provided by the PRC-Organ area. The successful applicant should be able to work effectively as part of a dedicated team and be passionate about supporting the Clinical Managers, Clinical Specialists and Clinical staff members in the provision of 24/7 donation and transplantation services. The individual will be interested in learning about the organization and will be able to see their daily activities in the context of organizational goals. As the first point of contact for key internal and external stakeholders, this individual will demonstrate professionalism, tact, diplomacy and excellent judgement and decision-making skills. Here is what you will be doing: Planning and coordinating PRC-Organ specific meetings through scheduling, developing agendas and meeting materials, preparing minutes and summaries, recording and distributing minutes and action items within 7 business days, and assisting in resolving issues arising from meetings Responsible for drafting, formatting, editing and proofreading PRC-Organ operational forms and labels to ensure accuracy of grammar and detail relevant for correct use and Health Canada requirements Assisting with on-boarding of new clinical staff including coordinating flight vector and GO PKI access, access to software systems, access to required hardware, managing PRC locker and mailbox distribution Provides back-up coverage for the Inventory Assistant – Organ including promptly responding to weekly organ supply inventory requests; preparing Purchase Orders (PO) and/or Purchase Requisitions (PR), maintaining inventory records (including damaged or expired inventory logs) for Health Canada auditing Closing orders; ensuring packing slips are filed with corresponding PO/PR and notifying TGLN Accounting of completed/non-completed order status for invoice payment purposes Conducting annual vendor evaluations Responsible for annual registration of HWIN/Daniels Tracking metrics, preparing reports, providing basic analysis, and keeping accurate files of PRC-Organ supply ordering/spending patterns Arranging semi-annual preventative maintenance inspections for fridges / freezer Preparing and formatting iMonnit temperature reports to ensure PRC fridges / freezer meet Health Canada regulations Promptly responding to equipment defect/repair requests; making all arrangements for shipment of and repair of equipment including arrangements for loaner equipment when required; maintaining equipment repair records Responsible for arranging regular maintenance for equipment (e.g. kidney pump inspections) and maintaining maintenance records for Health Canada auditing Responsible for ensuring each regional transplant program has access to a sufficient number of functioning kidney pumps on a weekly basis; liaises with regional transplant program contacts and arranges with Apple Courier for the delivery/pick-up of pumps for redistribution throughout the province as required Responsible for updating TGLN vehicle license plate stickers annually Responsible for creating and maintaining the TSP/TSP-ID weekly on-call schedule; creating a doodle poll semi-annually to establish availability for schedules; creating, maintaining/updating and posting completed schedules; facilitating last-minute change requests/switches from TSP/TSP-ID group; communicating to 24/7 staff when changes to the posted schedule have been made Responsible for maintaining the Manager-on-call (MOC) and Administrative on-call (AOC) schedule; maintaining/updating and posting completed schedule; facilitating last-minute change requests/switches from MOC/AOC group; communicating to 24/7 staff when changes to the posted schedule have been made Responsible for regularly collaborating with 30+ external and remote TGLN stakeholder contacts to create and maintain the monthly on-call schedules for: External Transplant on-call, External Lab on-call, OTDC on-call, and External Tissue on-call; creating, maintaining/updating and posting completed schedules prior to the start of the next month; updating schedules daily as required when changes are made; communicating to 24/7 staff when changes to the posted schedules have been made Manages the scheduling module for the Organ Allocation and Transplant System (OATS) including transcribing on-call schedules and making regular updates from transplant programs to ensure notifications are distributed to the correct clinicians Responsible for maintaining an accurate Recovery Staff Credentialing website for recovery staff Producing and verifying time-sheet report submissions in Workday for 40+ 24/7 PRC-Organ staff in collaboration with PRC (Organ) Clinical Managers Managing calendars and booking meetings for PRC (Organ) Clinical Managers (x2); Maintaining the Provincial Resource Centre phone system contact list including adding new contacts and updating information when required Maintaining of PRC Organ resource binder including updating contact information for transportation companies, and emergency service providers Maintaining and setting up accounts with transportation companies to facilitate team transportation on organ donor recoveries. Coordinating with Hospital Programs to obtain OHIP billing information (i.e. when donor does not have OHIP and recipient OHIP is required) Responsible for ensuring office supplies (pens, paper, batteries, wipes; sanitizer, etc..), forms, labels, taxi chits are always available for 24/7 PRC-Organ staff Assisting with ongoing operational projects within the department as needed Here is what you will need to be successful: Education and Experience Undergraduate degree plus 3-5 years equivalent experience Experience in healthcare, the healthcare system and/or logistics coordination preferred Knowledge and Skills Excellent communication, interpersonal, decision-making and diplomacy skills; ability to interact comfortably with all levels of organization and personnel Excellent organizational skills Responsible and highly motivated Must be able to manage multiple tasks Demonstrated initiative and the ability to work independently and to deadlines with an attention to detail Ability to work both as a member of a team to fulfil the team’s responsibilities, and independently, using sound judgement and independent thought Advanced knowledge of Microsoft Word, PowerPoint, Excel, Adobe, Outlook and Internet. Experience with MS Project and MS Visio is an asset. Excellent written and oral communication skills.
