The Department of Medicine in the Cumming School of Medicine invites applications for a Measurement Coordinator. This Part-time Fixed Term position is for approximately 6 months (based on length of grant funding), with the possibility of extension.
The Well Doc Initiative is a pan-Canadian, collaborative initiative based in Calgary with the vision 'shaping the future of physician wellness, together.' There has been growing interest in physician wellness in recent years, yet there continues to be a gap in upstream preventive resources to support physician wellness at the system level. The Well Doc Initiative is designed to help physicians, physician groups, and healthcare system leaders to embed policies, practices, and programs in their healthcare systems that proactively enhance the wellness of physicians across Canada.
The Measurement Coordinator, based in Calgary, will report to the Program Manager, Measurement and work closely with The Well Doc Initiative Leadership, other team members, and various collaborators across the country. The Measurement Coordinator will be responsible for a diverse set of tasks and oversight to assist with programmatic activities related to the measurement stream of work.
Summary of Key Responsibilities (job functions include but are not limited to):
MEASUREMENT SUPPORT ACTIVITIES
- Works closely with The Well Doc Initiative Leadership to coordinate, execute, and oversee activities within The Well Doc Initiative Evaluation & Measures Team
- Guides leaders from physician groups on how to proceed through The Well Doc Initiative Physician Wellness Measurement process, providing education and step-by-step. instructions on what is required to successfully navigate the physician wellness measurement process
- Works with The Well Doc Initiative Leadership to develop, implement, and monitor policies and procedures related to the measurement process
COMMUNICATION SUPPORT ACTIVITIES
- Helps to plan, coordinate, and oversee activities aimed at facilitating bi-directional communication between The Well Doc Initiative and various stakeholders across the country related to measurement, in collaboration with The Well Doc Initiative Leadership and the Program Manager, Measurement
- Helps to plan, coordinate, and oversee the development and dissemination of communications and advertising materials related to measurement
- Delivers professional written and verbal communications to diverse collaborators including University and health system leadership
ADMINISTRATIVE SUPPORT ACTIVITIES
- Oversees general administrative activities to support The Well Doc Initiative Leadership and other team members, with a particular focus on measurement related work
- Responsible to maintain records related to The Well Doc Initiative Measurement Process and Network, and other activities as appropriate
- Compiles other organizational documents to facilitate accurate record keeping and metrics
- Responsible for scheduling, calendar maintenance, and expense submissions
EVENT-RELATED SUPPORT ACTIVITIES
- Works closely with Program Manager, Measurement and Education Coordinator on the planning and execution of various events. This includes coordinating and helping oversee activities such as booking rooms, liaising with vendors, assisting with budget and expense activities, assisting with timeline development, event set-up and clean-up, and other event-related duties as required
- Serves as a primary contact at measurement related events such as post measurement retreats
Qualifications / Requirements:
- Post-secondary training in administration or a bachelor's degree
- Minimum of 5 years working in an administrative support role
- Experience working within a healthcare and/or University environment is considered a strong asset
- Previous experience working collaboratively with physicians from various disciplines is an asset
- Knowledge and experience working in the area of physician wellness is considered a strong asset
- Proficiency with Microsoft Office products (Word, Excel, PowerPoint)
- Experience with the use of various communications or data management tools such as the Adobe suite, Mentimeter, Qualtrics, or STATA is an asset
- Aptitude in learning new software programs
- Ability to work independently and as a member of a team
- High degree of effective time management, personal initiative, and teamwork
- Superior project management skills, with an ability to coordinate multiple projects and priorities simultaneously, with different groups
- Results-driven individual with a history of delivering high quality work
- Strong interpersonal, collaboration, and problem-solving skills
- A positive team player who is able to develop and foster strong working relationships with colleagues, external collaborators, and leaders from diverse groups across the country
- Excellent verbal and written communication skills to communicate effectively with a large and diverse group of stakeholders such as senior University and healthcare system staff, Division faculty and support staff, representatives of other programs and initiatives, and collaborating institution officials
- Perception, initiative, good judgment, and concern for detail and accuracy
- Ability to receive direction, collaborate with others in setting goals, and work effectively to achieve The Well Doc Initiative goals
- Ability to communicate well and demonstrate tact with colleagues from various disciplines and external collaborators within a complex initiative
- Must be able to maintain strict confidentiality and uphold ethical principles
- Ability to work in an environment of continuous change and growth
- Ability to provide guidance and mentorship to junior colleagues and external collaborators, as appropriate
