ABOUT THE ROLE
The Payroll and Accounting Administrator is responsible for full-cycle Canadian payroll processing for over 225 employees, ensuring accuracy, statutory compliance, and timely remittances across multiple provinces. This role plays a key part in payroll-related financial support and collaborates closely with HR to coordinate payroll and benefit processes. This role works closely with Finance, HR, and Operations teams to ensure seamless payroll and accounting processes. You will also support payroll-related projects, system upgrades, and continuous improvement initiatives.
WHAT YOU WILL DO
Payroll Administration
Manage full-cycle payroll processing for 225+ hourly, salaried, and contract employees across multiple provinces, ensuring accuracy, timeliness, and compliance
Verify and reconcile time and attendance data, vacation, overtime, leaves, and ensure employee departmental allocations are aligned across accounting and HR systems using UKG Kronos
Process payroll changes including new hires, terminations, promotions, and wage adjustments
Prepare and issue paystubs; promptly address employee payroll inquiries and resolve concerns
Generate and file Records of Employment (ROEs), T4s/T4As, and complete year-end reconciliations including Employer Health Tax (EHT) and WSIB
Administer profit-sharing payments and communicate relevant information to employees
Manage employee deductions related to company-sponsored initiatives and events (e.g., Ardent Eats)
Process employee expense reimbursements and manage allowances such as boot and wellness programs
Interpret and apply employment terms, including SEA language, to ensure accurate payroll processing
Partner with HR to facilitate smooth payroll and benefits coordination
Support payroll system upgrades, new software implementations, and continuous improvement projects
Maintain accurate, audit-ready payroll records and documentation
Accounting Support
Assist with preparation of payroll-related journal entries and accruals
Support reconciliation of payroll-related general ledger accounts (e.g., deductions, vacation, remittances)
Support month-end and year-end close activities related to payroll and compensation
Collaborate with Finance Team members to ensure smooth month-end and year-end payroll close processes
Maintain accurate documentation to support internal and external audits related to payroll
Assist with ad hoc payroll-related financial reporting and analysis as requested
Compliance & Reporting
Ensure accurate remittance of statutory deductions (CRA, WSIB, EHT, CPP, EI, etc.)
Maintain and enhance internal payroll procedures
Support continuous improvement initiatives
Deliver timely and reliable payroll reports that support leadership’s staffing and budgeting decisions
Stay up-to-date with changes in payroll legislation, tax regulations, and best practices to ensure ongoing compliance
Identify potential compliance risks and support process improvements to mitigate those risks
Assist with internal and external audits related to payroll compliance and reporting
QUALIFICATIONS & EXPERIENCE
Diploma or post-secondary education in Accounting, Payroll, or Business Administration
2+ years of Canadian payroll experience, preferably in a multi-provincial setting
Experience with UKG Kronos or other payroll/timekeeping systems
Strong knowledge of CRA remittance requirements and payroll best practices
Proficient in Excel and accounting systems; ability to create accurate reconciliations and reports
Proven ability to manage high volumes of data with accuracy and consistency under time-sensitive conditions
Delivers precise, audit-ready financial documentation and payroll outputs with minimal oversight
Exercises sound judgment and confidentiality when working with payroll, financial records, and employee information
PCP designation or in progress is an asset
Experience in a manufacturing or unionized environment is an asset
